INTRODUCTION:  


 


The Front Office Supervisor works with and reports directly to the Director of RCM and Compliance. The Front-Office Supervisor will be responsible for the delivery and management of the daily front desk activities at the David C Wynecoop Memorial Health Center, specifically including all aspects of the responsibilities of the Medical Receptionists, while maintaining a professional work environment. 



ESSENTIAL DUTIES AND RESPONSIBILITIES: 


 



  • Shall be responsible for scheduling front ancillary staff to ensure adequate coverage in all Front-End duties. 



  • Shall be responsible for staff coverage and adjusts staff work schedules as needed to cover PTO, Sick, and Emergency calls. Maximizes the use of available staff resources. 



  • Shall provide daily supervisory oversight of Medical Receptionists, and any other front ancillary staff regarding day-to-day duties, in-the-moment patient concerns, and performance evaluations. 



  • Shall coordinate staff training and retraining to further the professional development of the staff and improvement of patient care delivery. 



  • Shall audit front desk intakes for; demographics, insurance, scanned and faxed documentation 



  • Ensures all appointment confirmations are completed 



  • Shall assist Director with implementation of any new or revised processes 



  • Shall assist Director with implementation, design, and maintenance of an inventory process for Front End supplies. 



  • Shall oversee the Medical Receptionists to ensure the daily AM and PM checklists are completed. 



  • Ensures front office training
    and compliance
    with standards such as: HIPAA, AAAHC, Federal and Tribal regulations, and any other regulatory standards
     



  • Ensures new and existing staff are up to date with Health Center scheduling and patient flow optimization 



  • Shall coordinate new hire job shadowing and orientation. 



  • Strengthens the intake process for all appointments by identifying needs for staff training. 



  • Works closely with the Director to analyze the delivery of patient care services and to identify strategies to fill identified gaps 



  • Ability to supervise others and delegate effectively. 



  • Accepts other duties or responsibilities as assigned. 


 


MINIMUM QUALIFICATIONS: 


 



  • A minimum of an Associate's Degree in Business, Accounting, Health Care, or related field preferred. 



  • One year of supervisory experience required 



  • A minimum of 3 years’ supervisory experience
    preferred.
     



  • Must possess a valid driver’s license, good driving record, and be insured by the Tribe’s insurance carrier. 



  • Must strictly adhere to confidentiality and HIPAA policies.  



  • Computer literacy: Microsoft Word and Excel and Outlook email) required. 



  • Demonstrated ability to deliver and execute decisions. 



  • Demonstrated problem solving ability including planning, organizing, and prioritizing. 



  • Ability to motivate individuals and develop group cohesiveness. 



  • Ability to work collaboratively and productively with all members of Senior Leadership, medical providers, and clinical staff. 


 


Must provide documentation of immunity to measles, and rubella, or become vaccinated with the recommended vaccines and hepatitis B vaccine Must test for Tuberculosis (TB) at time of hire and per the National Centers for Disease Control (CDC) guidelines as required. Must have an annual health exam and a flu immunization and Coronavirus Disease (COVID-19) vaccination or exemption as required. 



Must successfully pass a Pre-employment drug screen test and submit to a criminal background check
