Front Office Coordinator - Concierge Practice

Job Description - Front Office Coordinator - Concierge Practice

About us

MyCare Medical Concierge is a concierge medical practice. Our patients get unhurried visits, same-day access, and a care team that knows them by name. The front office sets the tone for that experience.

About the role

You’ll be the first person our members see and hear. You’ll run the front desk from greeting through checkout, including scheduling, membership, billing, and referrals, with the warmth and discretion our patients expect.

What you’ll do

Patient experience

  • Greet members and visitors in person and by phone, warmly and professionally

  • Keep the front desk covered at all times during office hours

  • Keep the physician’s schedule running on time and let patients know about any delays

  • Notice when a patient seems unwell or distressed and alert clinical staff right away

  • Protect patient privacy and confidentiality at all times (HIPAA)

Scheduling and coordination

  • Schedule office visits, same-day appointments, follow-ups, and studies; confirm next-day appointments

  • Follow up on missed appointments and help patients reschedule needed care

  • Coordinate specialist referrals and make sure records reach the specialist before the visit

  • Document calls and follow-up details, such as pending lab results, in the EHR

  • Make sure every patient leaves with what they need: visit receipt, lab requisitions, prescriptions not sent electronically, and instructions

Membership, insurance, and billing

  • Support prospective and new members by explaining membership benefits, collecting intake forms, updating patient records, and coordinating onboarding with the Membership Services team.

  • Verify insurance at least one day before scheduled visits

  • Collect and post payments, balance the daily register, and submit to billing

  • Keep front desk forms and supplies stocked

What we’re looking for

Required

  • High school diploma or equivalent

  • 1+ year of front desk experience in a medical office

  • 1+ year of Microsoft Office experience; accurate typing and data entry

  • Working knowledge of medical terminology and insurance verification

  • Comfort handling payments and balancing a daily register

  • Ability to work collaboratively with providers, clinical staff, and the Membership Services team

  • Strong interpersonal skills, including respectful communication, supporting coworkers, and addressing concerns constructively.

Preferred

  • Experience in concierge medicine, luxury hospitality, or VIP client service

  • Experience with eCW.

You’ll thrive here if you stay calm and polished when the phones are busy, remember the details that make patients feel known, and treat discretion as second nature.

Pay and benefits

  • Health, dental, vision, and life insurance

  • HSA and FSA options

  • 401(k) retirement plan

  • PTO accrual and paid holidays

  • Employee Assistance Program

  • Health advocacy, travel assistance, and My Secure Advantage financial wellness

  • Employee discount

Schedule: Monday–Friday, 8-hour day shift e.g., [e.g., 8:00 a.m.–4:30 p.m.]

Location:  Primary location: Jupiter, FL 33458. Occasional coverage at our Palm Beach Gardens office may be required. Candidates must be able to reliably commute to both locations.

This role involves sitting or standing for extended periods and frequent phone and computer use. Reasonable accommodations are available.
