Position SummaryWe are seeking an organized and customer-focused Front Office Lead to oversee daily operations of the front desk team and ensure a smooth, professional, and welcoming experience for patients, visitors, and staff. The ideal candidate will provide leadership, support, and coordination for front office staff while actively managing front desk tasks such as scheduling, check-in/out, and administrative workflows. The successful candidate will be responsible for the following: Key Responsibilities: Leadership & Supervision:· Supervise, train, and support front desk/reception staff.· Assign daily responsibilities and ensure coverage for all front desk functions.· Monitor performance and provide feedback or coaching as needed.· Serve as the primary point of contact for front office operations and escalate issues when necessary. Operational Duties:· Greet and check in patients in a friendly and efficient manner.· Schedule and confirm appointments, follow-ups, and referrals.· Verify patient information, insurance eligibility, and collect co-pays or payments.· Ensure accurate and timely data entry in the electronic health record (EHR) system.· Handle phone calls, respond to inquiries, and route messages appropriately.· Maintain patient confidentiality and comply with HIPAA regulations. Administrative & Quality Support:· Ensure front office processes follow company policies and customer service standards.· Assist with audits, reports, and administrative projects as assigned by management.· Identify and implement process improvements to optimize patient flow and front office efficiency.
Requirements
· High school diploma or equivalent (required); associate degree or relevant certification (preferred).· 2+ years of front office or customer service experience in a medical or dental office.· 1+ year of leadership or supervisory experience strongly preferred.· Proficiency with scheduling software and electronic health records (EHR) systems (e.g., Athena, Epic, eClinicalWorks).· Strong communication, multitasking, and organizational skills.· Professional demeanor and ability to resolve conflicts or complaints effectively.· Knowledge of insurance verification, billing basics, and HIPAA compliance.
