Job Description - Front Office Receptionist

Job Summary:

The Front Office Receptionist at QualDerm Partners is a vital part of our team, responsible for ensuring a welcoming and efficient experience for our patients. This role involves accurately registering patients and verifying their insurance information through established medical systems. The Front Office Receptionist will provide exceptional customer service to patients, physicians, and team members, ensuring that all inquiries are handled promptly and professionally.

Key Responsibilities:

  • Greet patients and visitors in person and on the phone, offering assistance and answering inquiries.
  • Record patient arrivals in the Practice Management System (EMR).
  • Verify patient information by date of birth and name, creating new accounts as necessary.
  • Prepare and organize necessary paperwork prior to patient appointments.
  • Reschedule “No Show” appointments and maintain accurate notations in the system.
  • Schedule appointments effectively to optimize patient satisfaction and provider time.
  • Assist in emergency situations by responding quickly and using sound judgment.
  • Update patient information in the Practice Management System (EMR) as needed.
  • Verify insurance eligibility and financial status, notifying the Billing Department of any prior authorizations required.
  • Maintain a clean and organized reception area.
  • Collect patient copayments and balances at check-in and check-out.
  • Ensure the confidentiality of patients' personal and financial information.
  • Follow established policies and procedures and report any changes as necessary.
  • Provide superior customer service, answering the phone timely and professionally.
  • Communicate courteously with patients, team members, and providers.
  • Perform other duties assigned by the Practice Manager or Area Practice Manager.

  • High School Diploma required; Associate's Degree preferred.
  • At least 1 year of customer service experience in a healthcare setting preferred.
  • Strong communication and interpersonal skills.
  • Proficient with Practice Management Systems (EMR) and basic office software.
  • Ability to handle multiple tasks and work in a fast-paced environment.
