Job Description - Front/Back Office Support Coordinator - Grapevine, TX

Love to Hear Again is located in Grapevine, TX. A great “small town charm” boosting with culture. We practice the medical model of hearing loss & tinnitus treatment (highest tech, no compromise on care, our personal guarantee to “make it right”, and un-matched continuum of care) – The hearing healthcare we practice is TRANSFORMATIONAL (vs. transactional).

Schedule/ location: Grapevine, TX. Part-time hours (25-30 hours a week) between the hours of Monday – Friday – 8AM – 5PM or Full-Time.
What You Will Do:
Manage a FT or PT, on-site, position encompassing front- & back-office support:
• Inbound calls routing – customer service for basic account questions, invoice payments, & scheduling existing patient f/u visit requests (vs. transfer line to ‘New Patient coordinator’ for new chart setup/scheduling)
• Proactive, Database Outreach & Follow-through - Tested Not Treated/Expired Warranty/Upgrade-Eligible, Cancelled/No-Show rescheduling
• Proactively schedule Annual Re-Evaluations and 6-mo hearing device maintenance visits
• Receive inbound hearing device orders; Prep outbound repairs (to manufacturer)
• Assist in Check-in & Status updates of hearing device serial numbers in OMS inventory
• Assist in showing patients to the eval/consult rooms
• Assist inputting patient funding applications
• Assist in any overflow of hearing device troubleshooting during dedicated walk-in service hour

What You Will Need:
• Excellent interpersonal communication
• Comfort & aptitude in phone call/text/email/e-fax communications with patients & other health professionals. Microsoft Excel experience “a plus.”
• Ability to think outside the box and be flexible regarding problem solving
• Self-starter and self-motivated personality; focused on task at-hand, but able to pivot without being derailed
• Desire to collaborate/contribute in office meetings & team alignment workshops
• Ability to take constructive feedback positively, and then effectively put into practice
• Gatekeeper and triage ability – filter certain patient f/u services to the walk-in hour vs. booking a visit
• Attentive to detail and a “do it right the first time” mindset to avoid more work for self or others later
• Prior Medical office experience “a plus.”
