Position: Full-time Admissions Coordinator
Shift/schedule: Monday-Friday, 8:00am-4:30pm
Pay Range: $23.20/hour and $30.16/hour
Education and Training:
High School Diploma/GED required.
AAS in human services or related field and CASAC/CASAC-T or other QHP preferred.
CPR Certification required.
Position Summary: The Admissions Coordinator is responsible for facilitating and coordinating all aspects of the admissions process for St. Joseph’s bedded programs. This position serves as a primary point of contact for referral sources, prospective residents, and families, ensuring a timely, organized, and supportive admission experience. The Admissions Coordinator conducts screening and assessment activities, verifies funding and insurance eligibility, prepares resident charts, manages bed census and room assignments, and coordinates transportation to treatment. This role requires strong communication, organizational, and computer skills, along with knowledge of chemical dependency and the ability to manage sensitive situations with professionalism, discretion, and compassion.
Essential Duties:
Coordinate admissions to all of St. Joseph’s bedded programs.
Coordinate new client appointments for Nurse, Finance, PAT, Family, and Orientation.
Responsible for maintaining effective communication with referral agents and preparing admissions when needed.
Responsible for opening/preparing charts on all new residents.
Responsible for scheduling and assigning residents to an appropriate room and maintaining bed census daily.
Update data sheets daily, making changes accordingly in the computer.
Conduct alcohol and chemical dependence assessments for admissions (utilize locadtr).
Conduct alcohol/drug assessment phone interview.
Conducts crisis counseling with clients, family members or significant others as may be necessary.
Maintains Resident Room list and distributes to appropriate persons.
Assists with managing weekly admissions.
Attend in-house meetings or training courses in place of and/or as directed by the Admissions Director.
Meet on a regular basis, for supervision with the Admissions Director.
As needed, makes transportation arrangements for incoming residents.
Coordinate completion of Finance folder with Finance Department to ensure the inclusion of all necessary financial paperwork in client’s files.
Responsible for verification of insurance, self-pay and Medicaid and Medicaid Management Care funding for admissions.
Perform additional duties to ensure the quality of services provided by SJRC.
Collaboration across the agency, working with all programs we fill beds for.
