Job Summary: General Clerk III provides routine clerical and administrative support to FPS operations, including preparing correspondence, maintaining files, and assisting with daily office functions. This role answers and routes telephone calls, greets visitors, supports meeting facilitation, and distributes incoming mail and packages. The position also orders office supplies, updates internal directories, coordinates technical support for office equipment, and assists administrative staff with special projects, while maintaining confidentiality and supporting effective regional operations. Hourly Rate: $23.65-$24.65 an hour + H&W $5.09 an hour Location: FPS Consolidated Training Center – 6315 Bren Mar Drive, Alexandria, VA Responsibilities/Duties:
Responsible for conducting administrative and clerical support activities, including composing routine correspondence, filing, and assisting with other routine administrative operations and functions.
Order office and student supplies.
Answering and directing incoming telephone calls to the appropriate person.
Greeting visitors upon entry to FPS facilities, maintaining entry/exit logs as applicable, establishing the purpose of each visit, and assisting with the facilitation of meetings.
Aid the Administrative and Executive support staff as needed/requested.
Receive and distribute all incoming mail, packages, and facsimile messages.
Update, maintain, and distribute FPS Regional and internal telephone directories.
Work effectively with other branches and divisions within FPS to accomplish tasks.
Aid as needed with Special Projects.
Obtain necessary information from appropriate persons and/or sources to complete assigned tasks and share information with others as appropriate.
Compose routine correspondence, file, and assist with other ad hoc assignments as determined.
Maintain confidentiality of information.
Coordinate Information Technology, printer, photocopier, scanner, and facsimile technical support and arrange for repairs in accordance with FPS policy.
Qualifications:
More than two years of experience in clerical/administrative duties.
Ensure all personnel assigned to support this effort possess proficient working knowledge of Microsoft Office 365 products, including but not limited to Microsoft TEAMS, Excel, Word, PowerPoint, and Outlook.
Personnel must be proficient with contemporary office machines (i.e. copier, fax machine, scanner, etc.).
Possess proficient organizational skills, ability to effectively communicate orally and in writing.
Ability to work effectively independently and in groups.
Ability to quickly acquire and grasp the policies, rules, regulations, and directives of DHS/FPS.
Personnel must demonstrate functional proficiency with Adobe software, including Adobe Acrobat Pro for creating, editing, and managing PDF documents.
Familiarity with Adobe Connect is also required, as it will be used for virtual meetings, webinars, and training sessions.
Must be a U.S. citizen and able to obtain and maintain a DHS suitability determination and HSPD-12 PIV card.
Education/Certifications:
Minimum of a High School Diploma
Minimum of two (2) years of administrative experience in clerical and/or administrative duties.
