Job Description - Girls on the Run Bexar County - Program & Events Coordinator

Title: Program & Events Coordinator


Location: Hybrid in San Antonio, TX 


Reports to: Executive Director


FLSA Status: Exempt, full-time

Girls on the Run Bexar County is a local nonprofit organization dedicated to creating a world where every girl knows and activates her limitless potential and is free to boldly pursue her dreams. We inspire participants to be joyful, healthy and confident using a fun, experience-based curriculum which creatively integrates running. As a physical activity-based positive youth development program, our evidence-based curriculum is designed to enhance girls’ social, psychological and physical skills and behaviors to successfully navigate life experiences.

Position Profile
The Girls on the Run Bexar County Program and Events Coordinator must possess a passion for and commitment to improving the lives and opportunities of girls in third through eighth grade. We are a mission-driven organization committed to growth and impact. The ideal candidate will bring a strong entrepreneurial spirit, a creative and visionary mindset, and the ability to adapt to evolving challenges. This role requires exceptional relationship-building skills, a collaborative approach, and a passion for uniting and inspiring others. A commitment to follow-through, high-quality customer service, and living out the Girls on the Run mission and values are essential to success in this position.



This role provides pivotal support to the program and outreach events, collaborating with the team to effectively deliver the program, support coaches, and coordinate events throughout the season. This role will also contribute to volunteer management and logistics in partnership with the 5K team.


Responsibilities include but are not limited to:


Coach & Site Support



  • Assist with coach and site recruitment.

  • Support coaches and teams as needed during program hours.

  • Manage volunteer database recruitment campaigns including applications, background checks, training and CPR dates, and other requirements.

  • Manage coach training including sign-ups, check-ins, and follow-ups. Assist at coach training events and info nights as needed.

  • Plan, organize, and manage CPR and First Aid Training.

  • Program and 5K Coordination.

  • Assist with materials management, inventory, and ordering.

  • Help with materials assembly throughout the season before each supply pick-up or delivery and attend materials pick-up or delivery events, mid-season meeting events, and materials return events.

  • Assist in managing 5K volunteer recruitment and assignments communications, background checks, etc.).

  • Assist in organizing 5K supplies and materials.



Other Event Coordination



  • Represent our organization at local outreach events through tabling (indoor and outdoor, such as at 5Ks, workshops, etc.), key events (i.e., Day of the Girl, local running events), etc. 

  • Assist in organizing volunteers to represent our organization at events and ensure volunteers have the needed materials and training to speak about the organization.

  • Maintain event schedule and event communication.

  • Maintain event material inventory (giveaways, marketing materials, etc.).

  • General Team Responsibilities & Other Related Duties.

  • Assist the team with special projects.

  • Attend outreach and fundraising events.

  • Actively participate in weekly staff meetings, coming prepared and engaging in collective problem-solving

  • Other duties as required.



Qualities + Qualifications



  • Genuine passion for the Girls on the Run mission, with the ability to effectively communicate topics related to empowerment, self-esteem, body image, and holistic health.

  • Demonstrated project management skills.

  • Exceptional communication skills (written and verbal).

  • Cultural competence to work with, teach, and lead groups of diverse adults and children in respectful, equitable, and inclusive ways; commitment to creating an equitable and inclusive environment in all spaces.

  • A passion for community-building.

  • Self-motivated, capable of working well independently and collectively with limited supervision.

  • Computer competence, including but not limited to: Microsoft Office, data management programs, CRM systems, Google applications, Dropbox, and email.

  • Excellent multitasking and prioritization skills, with sound decision-making abilities.

  • Ability to travel independently throughout the organization’s service area using a personal vehicle for site visits or trainings/professional development, and other events.

  • Ability to lift and carry up to 35 pounds.

  • Comfortable in a hybrid work environment, including remote and in-person work at our office in San Antonio.

  • Bilingual in English/Spanish a plus.

  • Experience with youth or wellness nonprofits a plus.

  • Must reside within our service area, have reliable transportation, and be able to travel locally.

  • Able to work 40 hours per week, with availability Monday through Friday during after-school hours (3:00–6:00 PM) to support programming as needed.

  • Willing to work up to two weekend events per month and occasional evenings (including two Saturday morning 5K celebrations held in May and November). 



Compensation and Benefits
This is an exempt, full-time position with a salary range of $43,000 to $45,000. Girls on the Run of Bexar County offers a company laptop and phone, mileage reimbursement, 403(b) retirement plan, medical service membership, and ample PTO.
