Job Description - GIS / ADMINISTRATIVE COORDINATOR

Job Summary

Performs a wide range of complex administrative, clerical, accounting, and secretarial duties to support efficient office operations, while also maintaining and managing GIS databases. This role involves organizing large volumes of information, inputting and analyzing geospatial data, and supporting data-driven decision-making through GIS tools.

Essential Job Functions

  • Create, maintain, update, and analyze GIS data layers, including stormwater infrastructure, drainage systems, and related assets.
  • Perform spatial analysis to produce maps, reports, and other data-driven outputs.
  • Support asset management initiatives and contribute to data-driven planning and decision-making.
  • Develop and maintain GIS datasets and metadata for organization-wide use.
  • Coordinate GIS data input and distribution of cartographic outputs.
  • Track and manage time-sensitive projects to ensure timely completion.
  • Resolve procedural and operational issues related to GIS and administrative processes.
  • Handle incoming calls, provide information, and route inquiries appropriately.
  • Prepare, process, and maintain various documents such as reports, correspondence, applications, and records.
  • Perform administrative duties including scheduling, calendar management, data research, and file maintenance.
  • Execute routine clerical tasks such as filing, data entry, mail handling, and supply management.
  • Assist with bookkeeping tasks including invoices, requisitions, payroll support, and budget preparation.
  • Prepare meeting agendas, attend meetings, and document minutes.
  • Coordinate departmental activities and support internal and external communications.
  • Manage personnel-related administrative functions, including payroll tracking and employee records.
  • Maintain office systems and support technology usage.
  • Complete special projects and provide general office support as needed.
  • Operate office equipment and, when required, field tools for inspections and data collection.
  • Attend training and professional development activities to maintain and enhance job knowledge.

Job Requirements

Knowledge, Skills, and Abilities

  • Knowledge of GIS systems, spatial data, and mapping tools.
  • Understanding of administrative procedures, office practices, and record-keeping.
  • Familiarity with construction and stormwater infrastructure concepts (preferred).
  • Ability to interpret regulations, procedures, and technical documents.
  • Strong organizational, multitasking, and problem-solving skills.
  • Proficiency in data entry, report preparation, and general computer applications.
  • Effective communication skills, both written and verbal.
  • Ability to maintain confidentiality and exercise independent judgment.
  • Strong attention to detail and accuracy in documentation and reporting.
  • Ability to prioritize tasks and work efficiently under deadlines.
  • Capability to work independently and collaboratively within a team environment.

Education and Experience

  • High school diploma or equivalent required.
  • Minimum of three (3) years of administrative, clerical, or secretarial experience, or an equivalent combination of education and experience.
  • Knowledge or experience in GIS, construction, or stormwater systems preferred.
  • May require a valid driver's license.

Physical Requirements

  • Extended periods of sitting and working at a computer.
  • Frequent use of hands and fingers for typing and equipment operation.
  • Occasional standing, walking, bending, kneeling, or reaching.
  • Ability to lift and carry up to 10 lbs.
  • Ability to work in a standard office environment with occasional field-related tasks.
