Job Summary 
   
The Graduation Analyst position is responsible for reviewing, evaluating, and processing undergraduate student records to determine eligibility for degree conferral. The role ensures that university, program, and graduation requirements are met in accordance with established policies and procedures. The position analyzes academic records, DegreeWorks audits, and related system data to verify completion of degree requirements. Analysts process graduation applications, curriculum updates, course substitutions, and non-course requirements, identifying and resolving discrepancies in student records. This role requires interpretation and application of university policies and procedures to individual student circumstances. Analysts determine appropriate actions within established guidelines and escalate complex or exceptional cases when appropriate. The position also supports graduation-related processes, including preparation for commencement activities, coordination with academic departments and advisors, and communication with students and staff regarding graduation requirements and status. Graduation Analysts work with a high level of independence in managing assigned workloads and ensuring timely completion of graduation processing activities in accordance with institutional deadlines. 

 

Knowledge, Skills, and Abilities 

  • Knowledge of academic policies, degree requirements, and student records processes.
  • Ability to interpret and apply institutional policies and procedures to individual student situations.
  • Ability to analyze academic records and identify discrepancies or inconsistencies across multiple systems (e.g., Degree Works, Banner).
  • Ability to exercise independent judgment within established guidelines to determine appropriate resolution of student record issues.
  • Ability to research, resolve, and coordinate complex student record issues involving multiple departments or functional areas. 
  • Strong attention to detail with the ability to review and verify large volumes of data for accuracy. 
  • Strong organizational skills with the ability to manage multiple priorities and meet deadlines in a high-volume environment. 
  • Effective written and verbal communication skills with the ability to clearly explain policies and procedures to students, faculty, and staff. 
  • Ability to work collaboratively with academic departments, advisors, and administrative offices to ensure accurate resolution of student records.
  • Proficiency with Microsoft Office and student information systems. 

 

Required Qualifications 

  • High school diploma or equivalent and two (2) years of experience in an office, administrative, or customer service environment.
  • Experience working with detailed records, data entry, or systems-based processes requiring accuracy and attention to detail.
    OR 
  • A combination of education and work experience 

 

Preferred Qualifications 

  • Experience in higher education, registrar, admissions, or student records environment.
  • Experience working with student information systems such as Banner and degree audit tools such as Degree Works.
  • Experience interpreting and applying policies, procedures, or guidelines in a structured work environment.
  • Customer service experience in a high-volume environment. 

 

Physical Demands (as needed) 

  • Sitting for extended periods (e.g., at a computer or workstation) 
  • Lifting objects up to 25 lbs
  • Carrying files, equipment, or supplies short distances
  • Frequent typing or keyboard use
  • Visual acuity to read printed and electronic materials
