Description

If you are looking for a place where you can make a difference in the life of a child, Project Harmony is looking for you.  We are seeking an experienced and committed Grant Administrator to join our dynamic and innovative organization.  This position will lead and coordinate grant development and administration efforts within Project Harmony's Development Department. The Grant Administrator serves as a vital collaborator between the Executive Team, program leaders, and the Grant Committee to secure revenue growth and program sustainability through funding opportunities with foundation, public, and federal funders. They will ensure that every grant—from initial research to final reporting—is executed with high-quality narratives, meticulous data integrity, and strict submission timelines. The Grant Administrator serves as the primary safeguard for the organization's reputation by monitoring legislative changes and enforcing rigorous post-award administration.

Essential Duties and Responsibilities

  • Prospect and research new funding opportunities utilizing grant funding platforms, government notices, community partnerships and other tools and sources that align with Project Harmony’s strategic initiatives 
  • Collaborate with executive team and program leaders to develop strategic funding plans and revenue projections to support program sustainability and growth
  • Manage the full grant lifecycle for foundation, public, and federal funders by coordinating proposal development and post-award reporting activities, including creating templates, gathering data and supporting documentation, writing compelling narratives, managing funder portal submissions, maintaining accurate records, responding to funder inquiries, and ensuring compliance with all reporting and documentation requirements
  • Communicate with Chief Development Officer, program leaders, data team, and the grant committee regarding planned, submitted, pending, awarded, and declined grants
  • Compile and manage detailed information for accessing grant portals and funders' submission requirements
  • Utilize grant management systems to ensure accuracy of grant deadlines and activities as provided in award agreements
  • Facilitate Grant Committee meetings and manage agendas and documentation
  • Monitor state and federal legislation that could impact current and future funding and overall operations
  • Develop internal protocols and monitoring systems to safeguard against non-compliance and maintain the organization's reputation
  • Ensure culturally competent services are provided to all families we serve without regard to race, ethnicity, religion, socioeconomic status, disability, gender or sexual orientation
  • Other duties as assigned by Chief Development Officer and Chief Executive Officer

Requirements

Education 

  • Bachelor’s degree in social work, public administration, Journalism, Communication, or English required with equivalent relevant experience and training. Master’s degree preferred.

Experience and Training

  • 2+ years of previous work experience in grant writing required
  • Project management experience preferred
  • Experience in child welfare or related non-profit field preferred

Knowledge/Skills/Abilities

  • Superior written, oral and public communication skills, and demonstrated ability to write successful grant proposals that engage multiple and diverse constituencies
  • Knowledge of grant and/or donor databases (e.g., Instrumentl, Blackbaud Raiser’s Edge, GrantHub, etc.)
  • Knowledge of funding prospects (local, state and federal) and understanding the needs of the agency and funding source
  • Excellent attention to detail, organizational and time management, and research skills
  • Ability to understand, interpret and execute complex instructions
  • Expert computer skills (Microsoft Office to include Outlook, Word, Excel and Power Point)
  • Ability to work in a fast-paced and team-oriented environment
  • Ability to manage multiple projects simultaneously and meet deadlines
  • Ability to build relationships and work collaboratively with the Leadership team, co-workers and other agency partners
  • Self-starter with ability to set priorities and work independently as well as part of a team
  • Solid problem-solving and decision-making skills
  • Demonstrate a high level of professionalism and exceptional work ethic
  • Must respect and maintain confidentiality

Other

  • Must be willing to work flexible hours
  • Must submit to a thorough criminal history background check
  • Must have access to a vehicle, possess a valid driver’s license and proof of insurance
  • Position may involve some travel, primarily within the state
