The Grant Coordinator is an entry-level position responsible for supporting the grant writing, reporting, and tracking processes for the Boys & Girls Clubs of the Colorado River. This role assists in identifying funding opportunities, preparing grant applications, maintaining records, and ensuring compliance with grant requirements. The Grant Coordinator works under the direction of senior leadership and collaborates with program and administrative staff to support funding that sustains youth programs and services.
Essential Duties and Responsibilities
Grant Research and Tracking
Research potential grant opportunities from foundations, corporations, and government agencies
Assist in maintaining a grant calendar with deadlines and reporting requirements
Track submitted, pending, and awarded grants
Grant Writing Support
Assist with drafting grant applications, letters of inquiry, and supporting documents
Help gather required program information, statistics, and supporting materials
Prepare attachments and upload documents to grant portals
Ensure applications are completed accurately and submitted on time
Grant Reporting and Compliance
Assist with preparing progress reports and final reports for funders
Maintain organized electronic and physical grant files
Track program data needed for grant reporting, such as number of youth served and program outcomes
Help ensure compliance with grant requirements and deadlines
Administrative Support
Maintain accurate records of grant awards, reports, and correspondence
Assist with compiling program budgets and supporting documentation
Support leadership with grant-related administrative tasks
Assist with preparing materials for audits, site visits, or funder requests
Collaboration
Work with program staff to collect information and outcome data
Communicate with staff to ensure timely completion of grant requirements
Support the organization’s overall fundraising and program sustainability efforts
Qualifications
Education and Experience
Associate or Bachelor’s degree in communications, nonprofit management, business, public administration, or related field preferred
Previous administrative, nonprofit, or office experience preferred but not required
Grant writing experience is a plus but not required
Skills and Competencies
Strong written and verbal communication skills
Excellent organizational skills and attention to detail
Ability to meet deadlines and manage multiple tasks
Basic proficiency in Microsoft Office and Google Workspace
Ability to learn grant systems and databases
Ability to work independently with supervision and as part of a team
Work Environment
Office-based position with occasional visits to Club sites
May require occasional evening or weekend work to support deadlines
Physical Requirements
Ability to sit, type, and work at a computer for extended periods
Ability to lift up to 20 pounds occasionally
