Job Description - Grant Manager

Overall Role & Responsibility: The role of the Partnership With Native Americans (PWNA) Grant Manager is to administratively manage all PWNA grants, reporting and calendaring. . Primary responsibilities include entry and maintenance of grants information into PWNA digital and web-based platforms, maintaining MS global support numbers and reports, and coordinating scheduling, reporting, and information-gathering within the organization. The Grant Manager will work closely with Grants & Project Development in making sure all grant reports and materials are timely and in compliance with grant agreements. The Grant Manager will also work closely with Finance and Data Processing to ensure timely accounting and payment drawdowns for all grants. The manager will manage and maintain the grants and reporting calendar, funder profiles, other grant related documents. 

Essential Functions: 

• Gain a complete understanding of PWNA’s program services and the issues those services address. 

• Gain a complete understanding of all of PWNA fundraising channels. 

• Gain a complete understanding and apply the use of Acumatica software, NetFORUM database, and PWNA’s Finances, especially in tracking revenue and expenses from grants. 

• Provide proofreading for grants, reports and other collateral materials. 

• Recording and maintaining funder profiles on NetForum Software program 

• Research funder profile information in collaboration with Grants & Project Development, and research other assigned topics relevant to grants and reporting. 

• Generate assembled grant packages with all supporting documentation. 

• Work with Grants & Project Development to draft formulaic grants for Material Services, such as food & water. 

• Maintain and disseminate grant information and activities, including cultivation activities. 

• Prepare and submit Grant Acknowledgements.  

• Using research tools, assembling external data and other information requested from Grants & Project Development to support funding and organizational development needs. 

• Submit progress updates and reports. 

• Work closely with PWNA’s PDCC to catalog and store stories, quotes and photos for grant applications, reporting and funder engagement. 

• Coordinate with PWNA’s Director of Communication for needed support related to press or social media releases for new grants. 

• Assist with funder appreciation and special donor events. 

Work Conditions: 

• Regular Office hours Monday-Friday 

• Position based in either PWNA’s Phoenix, Arizona or Addison, Texas office preferred. 

Education/Experience Required: 

• Bachelor’s degree with a minimum of five years’ related experience in data systems integration and data management. Experience considered in lieu of degree. 

• Proven track record of information-use, reporting, and efficient systems implementation. 

• Preference for experience of administrative management grants and grant finance tracking. 

• Knowledge or experience of Native American tribes and issues preferred. 

• Knowledge or experience of PWNA services and programs preferred. 

Job Skills Required: 

• Demonstration of successful written and verbal communication skills, especially in reporting and in communicating with colleagues and partners. 

• Ability to read and interpret budgets and strong general mathematical skills. 

• Strong data input, management, and accuracy skills.

• Business Acumen: Understand business implications of decisions; display orientation to profitability; demonstrate knowledge of competition; align with strategic goals.

• Experience with and knowledge of computers, strong skills in the Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, etc.) 

• Preferred experience with Acumatica, NetForum or similar platforms to utilize PWNA’s system of record. 

• Comprehensive knowledge of standard office practices, equipment, and techniques. 

• Ethically generate and manage philanthropic support, abide by ethical standards, principles, and the Donor Bill of Rights in accordance with The Giving Institute. Violation of the standards, ethics, and practices may be subject to disciplinary action, including termination.
