ABOUT THE POSITION:
As a critical member of the Foundations’ Grants Management team, the Grants Associate is responsible for supporting grants management operations as well as providing technical and project management support to the Foundations Salesforce-based grants system. Reporting to the Director of Grant Operations and supporting all team members, the Grants Associate will contribute to process improvements and enable smooth execution of logistics, workflows, and projects for the Grants Management team.
Additional responsibilities include, but are not limited to the following: Manage projects and workflows for the grants management team, including liaising and coordinating with other teams within the Foundations, participating in meetings, taking notes, maintaining project plans and records, and executing follow-up tasks. Support Salesforce Grants System Manager to ensure Salesforce documentation is current and accurate. Coordinate Grants Management (“GM”) team meetings and agendas including taking notes and identifying and tracking action items. Monitor GM Team’s SharePoint-based internal site to ensure fresh content, removing outdated information as needed and managing an “editorial calendar” for the GM team. Manage GM Team’s Files in SharePoint. Manage templates in Salesforce by making changes provided by Director of Grant Operations and testing any revised templates. Support data management such as updating contacts and organization information. Serve as a point person for the bank wire verification calls. Provide User Testing in Salesforce for any new enhancements, with guidance from Salesforce Grants System Manager. Respond to, or redirect, general inquiries from the Foundations’ multiple public-facing email inboxes. Support Grants Managers to ensure Grants Management process documentation reflects latest revisions. Other duties as assigned. CANDIDATE REQUIREMENTS:
It is critically important that the Grants Associate be a highly collaborative and collegial team player who listens and communicates well.
To be considered, candidates will possess a majority of the following professional and personal attributes and competencies:
A minimum of 3 years of related work experience Project management experience; professional certification in project management preferred (alternatively, a willingness to obtain certification) Enterprise database system experience strongly preferred (Salesforce experience a plus) Demonstrated critical thinking skills; ability to assess information to draw sound conclusions Strong written and verbal communication skills, suitable for internal and external audiences Commitment to excellent customer service Curiosity, willingness to learn new systems, concepts and processes and ability to distill and communicate information to team Ability to multi-task and work flexibly and creatively within a fast-moving, changing, and complex environment Sound judgment, integrity, humility, and respect for confidentiality
This position will be based in Boston, MA on a hybrid schedule with a weekly requirement to work in-person with colleagues; successful candidates will need to undergo a comprehensive background check.
