Summary: Grants Management serves as an efficient, effective, and innovative resource that utilizes technology to provide high quality and seamless customer service for all grantmaking activities. The team manages all administrative aspects of incoming grant requests and awarded grants by working internally and externally to structure and coordinate workflow and communication to complete grantmaking requirements. The Grants Management team serves as a liaison between external partners and our grantmaking, finance and philanthropy teams. 

Essentials Functions and Expected Outcomes:

Customer Support

  • Manage the grants management phone line and email inbox while providing first-rate customer service in responding to questions and issues.
  • Assist grantees, students, and others with registering in the Foundation’s grant and application portals through access and password assistance.
  • Provide information and support related to grantmaking to staff across the Foundation.

Data Systems and Collection

  • Manage data collection and input across various systems for individual, organizational, grant, and distribution records.
  • Monitor approval of new individual and organizational records.
  • Gather data for grant award notification and monitoring. 
  • Work with multiple systems on collection and input of tasks and comments.

Grant-Related

  • Process required documents and data through grantmaking cycles for board-directed, community-responsive, donor-advised, affiliated funds, committee-advised, and designated grantmaking.
  • Coordinate workflow within specific deadlines for grant recommendations that move through a review and approval process while ensuring accurate data, coding, and quality documentation.
  • Monitor intake of grant inquiries and applications to provide detailed information and reports on the stages of submission while providing support to applicants in submission and troubleshooting technical issues.
  • Ensure grantmaking activities comply with IRS and foundation-specific regulations.
  • Monitor post-grant activities and requirements including acceptance, reporting, modifications, and closing.
  • Work with grant data to provide various charts and pivot tables from Excel on grantmaking data.
  • Prepare and produce various docket and voting materials for grantmaking committees and affiliated fund meetings.
  • Involvement with process improvements, systems database (including internal and external training), and documentation of grantmaking procedures.
  • Undertake special projects as assigned.

Requirements

Essential Qualifications, Credentials, and Technical Skills Required:

  • Associate or bachelor’s degree, three or more years’ experience in customer service or grantmaking environment, with the ability to handle complex projects simultaneously.
  • Passion for philanthropy, community service, and impact.  Demonstrated experience attracting, retaining, and managing a portfolio of staff and customers.  The ability to maintain confidence when working with sensitive information. 
  • Proven ability to build strategic, successful, and lasting relationships and interact effectively with cross-functional teams, outside partners, community leaders, and professional advisors.  Proven ability to foster teamwork and collaboration among peers, both departmentally and across the foundation.
  • Proficient at data collection and maintenance; effective presentation skill set required.
  • Experience working as part of a multidisciplinary team and interacting effectively with people and communities from diverse cultural, social, and ethnic backgrounds and age groups.  Commitment to racial equity and inclusion in all areas of work.
  • Technical literacy and ability to analyze and organize complex data and provide information that guides outcomes and actions to advance the foundation's priorities. Expertise with full MS Office Suite (Word, Excel, PowerPoint, Teams, Outlook, etc.) and online collaboration and meeting tools.  
  • Exceptional verbal, drafted communication, and organizational skills.
  • Demonstrates a high level of personal and professional integrity and ethics.   

Pay and Benefits

  

Based on the foundation's compensation program, estimated annual salary for this position may be anywhere between $49,000 and $59,000 with some flexibility, based on the academic, professional and community experiences and credentials of a candidate
