Arthur Grand Technologies is currently seeking a highly motivated and skilled Grant Administration Support Specialist / SME Grants – Full Time – Longboat Key, FL for one of our clients.



Position: Grant Administration Support Specialist / SME Grants

Location: Longboat Key, FL

Job Type: Full Time (Hybrid)

 

Job Summary:

Client seeks qualified and experienced personnel to provide comprehensive grant administration support services. This role is critical in assisting the Town with the comprehensive management of diverse funding streams from local, state, and federal agencies, including ensuring compliance with applicable regulations, preparing and submitting required documentation, and effectively monitoring and reporting on grant activities. The services detailed aim to support Town staff in managing and administering specific grant awards.

 

Key Responsibilities: The successful candidate will be responsible for the following key areas:

Grant Reporting and Documentation:

  • Preparing and submitting required reports to grant-issuing agencies.
  • Maintaining accurate records of grant activities, including performance metrics, spending, and outcomes.
  • Tracking the progress of grant-funded projects and preparing progress reports for Town staff as needed.
  • Assisting in compiling internal Town staff hours worked for reimbursement when necessary.

Compliance Management:

  • Ensuring compliance with all local, state, and federal regulations regarding grants, including procurement and financial management standards.
  • Advising on necessary procurement requirements and contract provisions for goods and services funded with grant dollars prior to grant application submission, based on the grant funding source.
  • Coordinating responses to Requests for Information (RFIs) or audits from grant administrators.

Reimbursement Management and Invoicing:

  • Tracking and managing invoices related to grant-funded projects to ensure timely submission and payment.
  • Submitting reimbursement requests to Town Staff and compiling supporting documentation such as invoices, receipts, and other proof of expenditures.

Grant Tracking and Financial Management:

  • Assisting the Town with adapting and improving upon its current grant tracking system to manage grant timelines, key deadlines, deliverables, and financial date.
  • Tracking and reporting on the financial status of each grant, including funds remaining, funds spent, funds received in reimbursement, and outstanding reimbursements.

Grant Opportunity Evaluation and Identification:

  • Monitoring and tracking changes in grant program priorities and goals and advising on how to adapt to these changes to remain competitive.
  • Researching and evaluating potential grant opportunities that align with the Town’s strategic goals, projects, annual budget cycle, and funding needs.
  • Assisting in preparing applications for new grants, including gathering required documents, developing grant narratives, and project descriptions.

Meeting Attendance:

  • Attending Commission meetings upon request.
  • Attending staff meetings upon request.

 

Minimum Qualifications and Experience: Candidates must demonstrate the following:

  • Bachelor's degree in public administration, Finance, Emergency Management, Environmental Policy, or related field.
  • At least five (5) years’ experience administering a variety of grant types, including federal, state, and local grants.
  • Familiarity with granting agency reporting platforms such as FEMA GO, Grants.gov, and DEMES.
  • Ability to manage multiple grants simultaneously, ensuring timely completion of reporting and reimbursement requests.
  • Experience creating and managing internal tracking systems to stay ahead of deadlines and ensure compliance.
  • Proven record of managing complex, large-scale, multi-year grants.
  • In-depth knowledge of requirements for using federal and state dollars related to procurement, financial reporting, and compliance.
  • Compliance with all applicable local, state, and federal rules, codes, regulations, and laws governing grant administration.

 

Skills and Competencies:

  • Deep understanding of 2 CFR Part 200 and FEMA Public Assistance Program guidelines.
  • Strong communication and coordination skills for effective interaction with Town Staff.
  • Ability to adapt and improve existing systems.
  • Proactive in monitoring and advising on grant program changes.
  • Excellent organizational and record-keeping abilities.
  • Customer-centered service philosophy.
