Job Description - Group and Events Coordinator

Position Summary

The Group and Events Coordinator plans and executes group stays, celebrations, retreats, and special events across The Stanford properties, ensuring seamless logistics, exceptional guest experiences, and alignment with The Stanford’s standard of hospitality excellence.

Key Responsibilities

  • Serve as the first point of contact for all group and event inquiries.
  • Coordinate logistics for group stays and events, including accommodations, catering, AV needs, spa services, and transportation.
  • Create and share event plans, contracts, proposals, and schedules with guests and internal teams.
  • Conduct site tours, guest consultations, and maintain the master group events calendar.
  • Partner with culinary, spa, accommodations, and venue teams to ensure seamless execution.
  • Supervise event-day staff, serve as host when needed, and coordinate with vendors.
  • Gather guest feedback to enhance services and prepare post-event recaps.
  • Support the Guest Services team and provide back-up as required.
  • Other duties as assigned.

Qualifications

  • High school diploma or equivalent.
  • One to three years of hospitality, guest services, or event planning experience required.
  • Exceptional organizational skills with a strong attention to detail.
  • Strong written and verbal communication skills.
  • Ability to multitask and manage multiple timelines under pressure.
  • Proactive and solution-oriented thinker.
  • Comfortable using scheduling tools, event planning software, and other related technology.
  • Consistently projects a polished, positive, and service-oriented image.
