Job Description - Group Sales and Events Coordinator
Position Summary
The Events and Group Sales Coordinator plays a vital role in supporting the sales and event operations of The Culver Hotel. This position serves as the liaison between clients and internal departments, ensuring seamless planning and execution of group bookings, meetings, and social events. A proactive, detail-oriented approach and a passion for hospitality are key to success in this role.
Key Responsibilities
Sales Coordination
Assist the Director of Sales and Sales Manager with group inquiries, proposals, and correspondence.
Maintain and update group bookings using TripleSeat and HMS systems.
Draft group contracts, addendums, and manage rooming lists.
Support follow-up and prospecting efforts to drive business conversions.
Assist with group billing coordination.
Event Coordination
Liaise with clients to capture event details, prepare Banquet Event Orders (BEOs), and coordinate logistics.
Lead property tours and client meetings as necessary.
Ensure all departments are informed and aligned on event requirements.
Provide on-site event support to uphold high service standards and guest satisfaction.
Assign event leads to the appropriate manager.
Support the prospecting of new clients and community partners.
Administrative & Operational Support
Manage event files, calendars, and reports.
Prepare weekly and monthly reports on sales and event activity.
Coordinate with accounting on billing details and timely invoicing.
Ensure collateral, menus, and sales materials are current and well-maintained.
Qualifications
1–2 years of hospitality, sales, or event coordination experience preferred (hotel or venue experience strongly valued).
Excellent written and verbal communication skills.
Strong organizational and time management abilities.
Proficiency in Microsoft Office Suite; experience with PMS/CRM systems (Delphi, Opera, etc.) a plus.
Professional demeanor with the ability to multi-task and work both independently and collaboratively.
Flexible schedule, including occasional evenings and weekends for events.
