Job Description - Group Sales Coordinator

The Group department sells and manages group life, disability, vision, critical illness, and accident plans for employers. This position is part of our Sales team, which is primarily responsible for producing quotes/proposals, onboarding new Group clients, and engaging our agent community.  Critical thinking, attention to detail, and professionalism are extremely important in this role. We are a valuable part of United Heritage Life Insurance Company and need someone who wants to be part of a fast-paced team that collaborates while working towards common goals.



Job Summary


This position is responsible for initial group set up for sold cases; performing review of sold case paperwork; group set up in administration system; policies/certificates issuance; and coordinating administration kit. The ideal candidate will be able to learn and understand company-specific Insurance Group products and processes, and serve as a liaison between agents, employer groups, and the sales team.



Primary Responsibilities


SOLD CASE IMPLEMENTATION



  • Conduct pre-sale review of completed sold case documents coordinating corrections if needed.

  • Verify agent appointment, commission assignment, and state licensing relevant to the sold case.

  • Perform the initial setup of groups in the administration system.

  • Process electronic and paper enrollments, evidence of insurability and waivers while verifying participation requirements and coordinating with the enrollment team.

  • Ensure the accuracy of initial enrollment and billing with the employer group, and arrange EFT setup.

  • Issue Group Policy and Certificate for; Group Term Life, Short and Long Term Disability, Vision and Worksite products.

  • Prepare Sold Case Acceptance Letter; ensuring accurate contract creation and obtain final rating with reinsurer. • Create and send the completed Administration Kit to the employer group and agency.

  • Work with agency and employer group to ensure smooth implementation of coverage.



ADMINISTRATION



  • Administration of in-force groups.

  • Perform customer service for agents, employer groups, and employees.  This includes problem solving, inquiries, and requests.

  • Compose correspondence with agents and employer groups.

  • Scan all sold case documents into the appropriate group files promptly.

  • Update Sales Management System with all sold case information.



Additional Responsibilities



  • Learn duties of other positions in department and back up as needed.

  • Collaborate with the proposal coordinator, account representative, and sales team on relevant state-specific provisions pertaining to the quote.

  • Functional understanding of all aspects of the Group Department.

  • Customer service to agents and employer groups.

  • Other duties as assigned.



Knowledge and Skill Requirements



  • High School Diploma or equivalent
    (GED)

  • May require some job-related coursework;

  • Proficient in Adobe, Microsoft Word, and Excel computer skills;

  • Ability to learn company-specific software;

  • Excellent verbal and written communication skills;

  • Strong customer service skills;

  • Strong communication skills;

  • Organizational skills;

  • Detail oriented;

  • Ability to work in fast-paced environment;

  • Ability to prioritize workload;

  • Displays a good-natured, cooperative attitude and is pleasant with others on the job.

Working Conditions


Work is performed in an office environment. May sit for long periods of time. Visual acuity to perform reading and computer functions.
