Business Need / Purpose of Role:



The Administrative Assistant is the link between operations and accounting departments, ensuring the correct input of information into our systems.  Will contribute to development of the Operational functions ensuring that all operational requirements, from vessel’s are met as per principal and company’s requirements, in the best, fast and professional manner. This position will also be the main person in-charge of office administration to ensure day-to-day operations in the office are handled efficiently and in organized manner. 



Objectives & Measurement – Key Responsibilities




  • Prepare and send Inchcape Shipping Services Weekly report (Petty cash) 

  • Monitor and ensure corporate payments are made promptly. 

  • Maintain contact with suppliers for invoices  

  • Utilize ONEDA / OPTIC as per Standard Operating Procedures 

  • Process (Scan) and upload invoices into OneDA & Optic for rendering to principals. 

  • Work with vendors for timely receipt of invoices in coordination with Boarding Agents who ordered the particular services. 

  • Enter invoices on daily transmittal excel spreadsheet and submitted timely to DA Team. 

  • Responsible for copying invoices for immediate payment where necessary and filling in vendor files if payment not required immediately.. 

  • Provide administrative support if and when necessary. 

  • Provide support where necessary to operations team in making payments to local 

  • Carry out any other duties as are within the scope and purpose of the job as requested by the Line Manager and ensure full utilization of all ISS systems according to Standard Operating Procedures. 



Administrative Support






    • Provide general administrative support including but not limited to composing correspondence, reviewing outgoing correspondence for format, spelling, grammar, and punctuation. photocopying, faxing, filing.

    • Prepares, picks up, and distributes all incoming and outgoing mail and packages. Assists operations office with sending out ship mail/packages including receiving, logging, and informing the agents of the arrival of packages. 


     


    Knowledge, Skills, and Abilities



    • Must have an advanced communication (verbal, written and listening) skills in order to communicate at different levels throughout the organization.

    • Must project an understanding and appreciation for the confidentiality of documents, initiatives, and projects, and protect it as appropriate.

    • Must be highly responsible, team-oriented individual with strong work ethic that is willing to do whatever the job requires in a dynamic environment.

    • Must possess an advanced proficiency with Microsoft Word, Excel, PowerPoint, SharePoint, and Outlook.

    • Ability to work independently with limited supervision, multitask and possess strong initiative, exercise independent judgment within established systems and procedures.

    • Ability to think logically, establish and follow procedures, instructions and make sound decisions.

    • Ability to deal with ambiguity and reprioritize tasks in response to unexpected changes in priorities or processes.

    • Quick thinking and comfortable in working in a fast-paced environment where each day brings new challenges. 

    • A self-starter; happy to pitch into the day-to-day where necessary.

    • Flexibility for occasional overtime and addressing after-hours calls.

    • Meticulous with a sense of detail and analytical skills.

    • Good vendor management skills. Proactive, curious, continuous improvement and team-player mindset.

    • Bilingual, fluent English/Spanish written, and verbal communication preferred.



    Education, Qualifications, Certifications, and Licenses


    Education/Experience:


     



    • Minimum of 2 years administrative experience or similar support role required
