Job Description - Head of Administrative Operations
This position is an integral part of Keller Executive Search and does not pertain to one of its clients.
We are seeking a highly skilled and experienced Head of Administrative Operations to lead and oversee the administrative functions within Keller Executive Search. The successful candidate will be responsible for managing complex operational processes, streamlining administrative workflows, and providing strategic leadership to ensure the efficient functioning of the firm's executive search operations. This role demands a detail-oriented and organized professional with a commitment to excellence and the ability to collaborate across departments.
Key Responsibilities:
Lead and manage the administrative operations team, fostering a culture of efficiency and continuous improvement.
Develop and implement policies, procedures, and best practices that enhance operational effectiveness.
Coordinate and oversee executive support functions, including calendar management, travel arrangements, and correspondence.
Ensure seamless communication and coordination among internal teams and with external stakeholders.
Oversee the management of confidential documents and sensitive information in compliance with company standards.
Drive process improvements through data analysis, research, and adoption of appropriate technologies.
Plan and supervise key events such as board meetings, leadership retreats, and client engagements.
Report regularly to senior leadership on operational performance and strategic initiatives.
Extensive experience in administrative operations management, preferably within executive search or professional services.
Demonstrated leadership abilities with experience managing teams and complex projects.
Exceptional organizational skills and the capacity to manage multiple priorities effectively.
Advanced proficiency in Microsoft Office Suite and collaborative tools such as Google Workspace.
Strong verbal and written communication skills with a high level of professionalism.
Discretion and integrity in handling confidential information.
Analytical mindset with problem-solving aptitude and attention to detail.
Ability to work independently while leading cross-functional collaboration.
Adaptability to dynamic business environments and evolving priorities.

Competitive salary: $180,000–$264,000 annually (depending on experience).
