Job Description - Health Information Correspondence Secretary (FT)

Hours: 1st shift, Monday - Friday| No Supervisory Responsibilities | No Travel | Pay commensurate with experience



Full time, day shift in Health Information Services. 



JOB SUMMARY:
 Coordinates record reviews and assists requesters with access to and release of informationResponds to requests for medical information by performing duties in accordance with established Ashe Memorial Hospital and Departmental policies and state and federal laws.  Processes incoming and outgoing mail on a daily basis. 



Minimum Job Qualifications: 


 


Regulatory Requirements: 



  • High school graduate or equivalent preferred. 



  • 2 or more years of previous release of information experience. 



  • Knowledge of HIPPA laws. 



  • Ability to work with patients, attorneys, insurance companies, workers compensation carriers, Medicare & Medicaid in a collaborative manner preferred. 



  • Coding certification preferred. 



ESSENTIAL FUNCTIONS: 


 



  1. Coordinates the release of medical information to all requestors, including patients, physicians, and other health care providers within 5 working days of receiving it.  

  2. Processes subpoenas and court orders within time frames given on subpoena or court order. 

  3. Verifies authorizations in accordance with Ashe Memorial Hospital policy and procedures and state and federal laws. 

  4. Maintains security and confidentiality regulations for record access and reviewConsults Director or Supervisor with any unusual requests. 

  5. Stamps all requests for records with date received and logs in the correspondence log as received. 

  6. Familiar with the components of a valid subpoena or court order. 

  7. Schedules appointments for review of records by attorneys, auditors, patients, etc. 

  8. Maintain supplies and order supplies, as necessary.
     

  9. Maintains a good working relationship within the Department and other departments. 

  10. Willingly
    accepts
    additional assignments: SDC charts, reference labs, tumor registry. 
     

  11. Familiar with amendment to the Medical Record process and forms.
      

  12. Possesses the ability to pull together an accounting of released information for patients on demand. 

  13. Files completed records in the permanent file area, all incoming reports outside department and hospital. 

  14. Oversees student employee in training and work duties. 

  15. Follows departmental policies and procedures when releasing protected health information (PHI) to Clerk of Court. 

  16. Prepare records for storage. Responsible for the retrieval of stored records at storage facility. 

  17. Performs other duties as assigned.



Must be willing to receive all required vaccinations (i.e., flu shot, etc.). All new employees working must be fully vaccinated as a condition of employment (unless the new hire has requested and received an exemption). After receiving an offer of employment, new employees must provide proof of vaccination or request and receive an exemption before beginning work.
