Position : Health Information Specialist I
Pay Rate : $20.69/hr
Duration : 12 weeks
Schedule: Day 5×8-Hour (8:00 AM - 4:30 PM)

Summary:
Responsible for preparing and entering documents into an electronic patient record system. Tasks include prepping, scanning, and document indexing; monitoring required transcription work queues in Sutter EHR for follow-up on dictated reports; and serving as a liaison between transcription and medical staff, nursing units, and surgery. Handles basic release of dictated reports to physicians for unregistered patients and manages access to protected health information as needed. Additional duties include managing unit consolidation for paper medical records.

Principal Accountabilities : Document Preparation and Management : Prepares, sorts, and processes documents received by patient care units to determine if they have been scanned at the point of service. Processes documents in the Awaiting Index, Order Level Corrections, and Image Rescan queues. Scans documents for new patients, surgery patients, and as requested by clinical staff. Operates scanning equipment, troubleshoots issues, and maintains equipment by regular cleaning.
Transcription and Communication : Assists physicians with dictation or transcription problems and password resets. Mails or faxes reports to doctors' offices or providers as needed. Works the iMedX/Transcription pended dictation queue and manually pushes pended dictations through to Epic. Answers calls regarding dictated/transcribed reports.
Record Management : Merges duplicate patient health records for legacy system/paper records only. Uses vendor software for the incorporation of documents into the EHR.
Clerical Support : Provides clerical support and performs related duties as needed. Meets productivity and quality requirements for assigned work. Participates in individual, sectional, and monthly department meetings.
Professional Development : Enhances professional growth through educational programs and in-service meetings. Uses feedback to assess and improve performance. Adheres to Sutter Health standard work processes for Document Imaging, Transcription, and EMPI procedures.
Requirements : Education : High School Diploma or equivalent experience. Medical Terminology Course desired.
Experience : 0-2 years in a medical records department, physician's office/clinic, or medical billing service preferred. Experience with Document Imaging or Forms Management standards preferred. Experience in a regional/shared service environment with multiple/matrix reporting relationships preferred.
Skills and Knowledge : General knowledge of Document Imaging/Forms Management.
Familiarity with EHR system applications, preferably Epic.
Strong organizational, prioritization, and attention to detail skills.
Ability to manage own schedule and work effectively without supervision.
Proficiency with Microsoft Office Suite and ability to learn new software systems.
Communication : Consistently communicates with respect, kindness, and understanding.
Maintains confidentiality and adheres to the Medical Center's standards for patient confidentiality and conduct.
Engages in effective verbal and written communication with individuals and groups.
