Position Overview: As a Health Records Specialist, the individual ensures that all clinical documentation, intake paperwork, external forms, and electronic health records (EHR) are maintained accurately, securely, and in compliance with state and federal regulations. This position bridges clinical and administrative functions to support a streamlined, compliant, and recovery-focused care environment.
Essential Duties and Responsibilities This position includes, but is not limited to, the following responsibilities:
• Maintain accurate and complete health records in the EHR system, including intake packets, consent forms, outside documentation, and releases.
• Audit charts regularly to ensure compliance with 245G, HIPAA, 42 CFR Part 2, and agency policy.
• Upload external documents (court, medical, therapy, etc.) to appropriate categories within the EHR.
• Monitor incoming faxed/emailed records and route them to appropriate staff.
• Assist in preparing for audits, licensing visits, or file reviews.
• Coordinate intake documentation for new clients and support the intake team as needed. Work Environment and Physical Requirements
• This position involves in-person client interactions and may require occasional telehealth work.
• Must be able to sit, stand, and walk for extended periods during sessions, outreach, or events.
• May involve travel to off-site locations including community resource agencies, sober housing, or events.
• Frequent use of computers and office equipment for documentation.
• Environment may include exposure to emotional or high-stress situations requiring de-escalation and professionalism.
• Interaction with individuals at varying stages of recovery, including those experiencing mental health symptoms or withdrawal.
• This is a full-time, salaried position, which may require working more than 40 hours per week to meet the responsibilities and demands of the role. Flexibility is expected in order to support client care, team needs, and organizational priorities. Minimum Qualifications:
• High school diploma or GED.
• Ability to maintain appropriate boundaries and uphold ethical guidelines.
• Strong interpersonal and communication skills.
• Ability to work independently and as part of a multidisciplinary team.

• Associate’s degree in Health Information Management, Health Informatics, or a related field
•Certified through AHIMA or AAPC (strongly preferred): o Registered Health Information Technician (RHIT) o Certified Electronic Health Records Specialist (CEHRS) o Registered Health Information Administrator (RHIA) o Certified Professional Coder (CPC)
• Experience working with electronic health records (EHR) systems—such as Procentive, Epic, Cerner, or similar • Prior experience in a licensed treatment or residential care setting (preferred but not required)
• Strong data entry, documentation, and file management skills • Proficiency in Microsoft Office Suite (especially Excel and Outlook) • Ability to navigate electronic systems, audit documentation, and maintain compliance logs
• High attention to detail and accuracy
• Strong time management, organization, and ability to meet deadlines
• Familiarity with HIPAA, 42 CFR Part 2, Compensation and Benefits This is a full-time, exempt position. Compensation is competitive and commensurate with experience. Starting salary: $40,000/annually. Benefits include: • Medical and dental insurance
