Starting Hourly Pay: $23.16

    Job Description

    The Health Services Administrative Assistant performs a variety of advanced administrative support functions and activities for the Chief Medical Officer.

    KEY ACCOUNTABILITIES:

    1. Schedule Management
      • Schedules and coordinates meetings, appointments, and travel arrangements for the Chief Medical Officer (CMO). Maintains the calendar for the CMO.
    2. Office Management
      • Ensures office operations function smoothly. Ensures office supplies are adequate. Places orders as needed and submits expense reports for the CMO.
    3. Communications Liaison
      • Manages the flow of information to the CMO. Screens phone calls, opens and sorts mail, and summarizes reports and memos that are received before passing the information on to the executives.
    4. Information Preparation
      • Prepares and formats information for internal and external distribution. This includes writing letters and memos, taking meeting minutes, compiling data for reports, creating computerized presentations, writing reports, transcribing dictation, editing, proofreading, and other information preparation duties.
    5. Records Management
      • Maintains company records including setting up and managing both electronic and paper filing system, as well as taking steps to maintain that the NATIVE HEALTH is in compliance with all applicable record-keeping requirements.
    6. Supports the organization as needed.

    • Strong problem-solving skills and assertive in challenging situations.
    • Ability to anticipate needs.
    • High level of integrity. Position is exposed to confidential and sensitive information.
    • Organized and exceptional attention to detail.
    • Proficient use of computer software including Microsoft Office and Access.
    • Knowledge of correct English usage, grammar, spelling, and punctuation.
    • Ability to prioritize and manage effective multiple projects.
    • Effective verbal and written communication skills
    • Culturally competent; able to work with a diverse workforce and client population.
    • Excellent customer service skills.
    • Must be professional in demeanor, dress, and presentation.

    Qualifications

    • Associate or bachelor's degree or equivalent training and experience in business administration preferred.
    • Three years’ administrative support experience required.

    Standard Employment Requirements: 

    • Must possess a valid and unrestricted Arizona driver’s license (within 30 days of hire if applicant is from out-of-state) with no DUI/DWI or reckless driving convictions in the last five years. No more than two at-fault accidents in the last three years. Must maintain a valid Arizona driver’s license during employment. Must be insurable under NATIVE HEALTH’s liability auto policy.
    • Must pass a criminal background check and obtain a Class I Fingerprint Clearance Card within the initial ninety (90) calendar days of employment and retain a valid card while employed with NATIVE HEALTH.
    • Must pass substance abuse testing upon employment and submit to random testing during employment.
    • Must provide an updated immunization (IZ) record at the time of employment.
    • Must have a current (within 12 months) Tuberculosis (TB) skin report upon employment and provide an annual update.
    • Must obtain BLS certification within (90) calendar days of employment and maintain certification during employment.
