Job Description - Healthcare Advocate

The Healthcare Advocate helps Pacific Health Group expand access to care by supporting contracts, grants, and relationship development. This role focuses on coordinating agreements and grant activities while strengthening partnerships with community organizations and stakeholders. It is best suited for someone who is confident in communication, skilled at relationship-building, and capable of managing details with accuracy and professionalism.

Responsibilities

Contracting & RFP (Request for Proposal) Support

  • Maintain contract lifecycle management by tracking agreements, amendments, and expirations to ensure documentation is accurate and up to date.
  • Prepare, route, and monitor agreements, including scopes of work, compliance documents, and supporting materials for review and signature, ensuring timely execution.
  • Oversee partner records by maintaining an organized repository of contracts and associated details to support reporting, audits, and renewal processes.
  • Targeting new healthcare partnerships and contracting opportunities by submitting LOIs and solidifying the contracting enrollment period of services.
  • Expansion of the company footprint to other counties in the State of California, and focusing the expansion process on other strategic markets outside of the state.

Grant Coordination

  • Support grant applications by monitoring deadlines, compiling required forms, and coordinating submission processes across departments.
  • Collect and validate data for reporting purposes in partnership with program and finance teams to ensure compliance with grant guidelines.
  • Monitor grant compliance by following up on outstanding items, ensuring adherence to funding requirements, and preparing documentation for review.

Relationship Development

  • Facilitate external partnerships by scheduling and participating in meetings with community agencies, healthcare providers, and other stakeholders.
  • Draft and manage partner communications including letters of intent, MOUs, partnership agreements, and standard correspondence.
  • Represent Pacific Health Group in the community by attending networking opportunities, events, and forums to build visibility, strengthen relationships, and identify new collaboration opportunities.

Quality Improvement and Data

  • Collect, analyze, and interpret data to support program quality improvement initiatives and identify opportunities for growth.
  • Prepare reports and summaries for leadership and partners that clearly communicate progress, compliance status, and impact.
  • Collaborate with cross-functional teams to align reporting and compliance requirements, reducing redundancies and improving data accuracy.

Other duties as assigned, not limited to the responsibilities outlined above.

Core Skills:

  • Strong verbal and written communication, with the ability to present information clearly and persuasively.
  • Proven ability to build and maintain relationships across diverse stakeholders.
  • Exceptional organizational skills, attention to detail, and the ability to manage multiple priorities simultaneously.
  • Professionalism and discretion in handling sensitive information and negotiations.

Technical Skills:

  • Proficiency with Google Workspace (Docs, Sheets, Drive, Calendar, Meet).
  • Experience using Monday.com or similar project management platforms.
  • Willingness to learn additional systems or tools identified by leadership.

Experiential Skills:

  • Three or more years of experience in healthcare administration, contracting, grants, or program coordination.
  • Demonstrated success in managing agreements, meeting deadlines, and ensuring compliance requirements are met.
  • Experience preparing accurate reports and working across departments to align processes.

Preferred:

  • Bachelor’s degree in public health, healthcare administration, business, or related field.
  • Familiarity with Medicaid, managed care, or community health contracts.
  • Experience preparing or submitting grants in a healthcare or nonprofit setting.

Financial: $69,500–$74,500 salary, plus performance-based compensation.
