Description

 Job Title: Administrative Assistant/Intake 

Supervised by: Home Health Manager

Job Summary: Responsible for office management and supervising staff. Performs administrative and budget related duties. Assists the director/manager with department responsibilities. Participates in performance improvement and continuous quality improvement (CQI) activities.

   

Demonstrates Competency in the Following Areas:

  • Acts as support staff for Office Manager in the general overseeing of the office. 
  • Responsible for obtaining accurate referral information.
  • Verify assigned insurance at admit, recert, and prn.
  • Processes lab orders, scans results into maestro, faxes to appropriate physician and communicates with nurse.
  • Transcribes any visits needing to be transcribed within a timely manner. 
  • Obtains written specific orders for admission of home care services.
  • Communicates patient’s data and observations verbally and through recording.
  • Complies with the HHA’s policies.
  • Screens and routes incoming/outgoing mail daily.
  • Files/Scans correspondence and records. 
  • Completes mileage check requests by 12pm on Mondays, bi-weekly. 
  • Demonstrates the ability to order supplies; completes and authorizes requisitions. 
  • Maintains procedures and controls to promote communication and adequate information flow. 
  • Demonstrates the ability to perform secretarial duties, i.e., typing, dictation, correspondence, memos. 
  • Answers the telephone in a professional manner; directs calls appropriately. 
  • Maintains department records and files. 
  • Communicates appropriately and clearly to the director/manager, co-workers. 
  • Maintains a good working relationship both within the department and with other departments. 
  • Is a resource person both within the department and to administrative staff of other departments. 
  • Demonstrates the ability to schedule meetings between departments, directors/managers. 
  • Demonstrates the ability to be flexible and organized. 
  • Manages and operates equipment safely and correctly. 
  • Performs other duties as assigned. 
  • Supports and maintains a culture of safety and quality.
  • Ensures all face-to-face documentation is completed in a timely manner.

  


Requirements

 

Professional Requirements:

  • Adheres to dress code; appearance is neat and professional.
  • Completes annual educational requirements.
  • Maintains regulatory requirements.
  • Wears identification while on duty, 
  • Attends annual review.
  • Reports to work on time and as   scheduled; completes work in designated time.
  • Attends committee, performance   improvement and continuous quality improvement meetings as appropriate.
  • Communicates the mission, ethics and   goals of the Facility as well as the focus statement of the department.

Regulatory Requirements:

· Secretarial experience preferred but not mandatory

Language Skills:

· Able to communicate effectively in English, both verbally and in writing.

· Additional languages preferred.

· Strong presentation skills.

Skills:

· Basic computer knowledge.

· Ability to use all office equipment.
