Position: Office Supervisor
Reports To: Branch Manager / Regional Manager
Department: Home Care Operations
The Office Supervisor is responsible for overseeing the daily operations of the CareSense Home Care office and supporting the coordination of quality home care services. This position supervises office staff, assists with caregiver staffing and scheduling, monitors compliance requirements, and helps ensure client and caregiver needs are addressed promptly.
Supervise and support office staff, including Staffing Coordinators and administrative personnel.
Oversee daily staffing and scheduling needs and assist with filling open caregiver shifts.
Monitor caregiver call-offs, attendance, and staffing concerns.
Ensure caregivers are properly cleared and approved before beginning assignments.
Assist with new hire onboarding and required employment documentation.
Monitor EVV/HHAeXchange for missed clock-ins, clock-outs, scheduling issues, and documentation concerns.
Ensure client records, caregiver records, authorizations, and service documentation are complete and current.
Respond to client, family, caregiver, and Service Coordinator concerns.
Assist with complaints, incidents, and follow-up documentation as required.
Communicate changes in client services, authorizations, hospitalizations, and staffing to appropriate team members.
Monitor office compliance with CareSense policies, payer requirements, and applicable state regulations.
Assist with audits, record reviews, corrective action plans, and quality improvement activities.
Provide training, coaching, and guidance to office staff.
Escalate clinical concerns to the appropriate nurse or clinical supervisor.
Maintain confidentiality of client and employee information in accordance with HIPAA and company policy.
Complete other duties as assigned by management.
High school diploma or equivalent required; college degree preferred.
Previous home care, healthcare, staffing, or office management experience preferred.
Supervisory or leadership experience preferred.
Strong organizational, communication, and problem-solving skills.
Ability to manage multiple priorities in a fast-paced environment.
Proficiency with computers and Microsoft Office.
Experience with HHAeXchange, EVV systems, or home care scheduling software preferred.
Ability to perform general office duties, including prolonged periods of sitting, computer use, telephone communication, and occasional lifting of office materials.
The Office Supervisor must demonstrate professionalism, dependability, confidentiality, and the ability to work effectively with clients, caregivers, staff, families, and outside agencies.
