Job Description - Homeless Management Information System (HMIS) Coordinator
Position Summary: The HMIS Coordinator is responsible for overseeing all aspects of the Homeless Management Information System (HMIS) for the organization and its partner agencies. This includes ensuring data quality, system compliance, training users, and generating reports that support effective service delivery, program evaluation, and grant reporting. The HMIS Coordinator works in a hybrid capacity, splitting time between remote work and in-office presence, to collaborate with internal staff and external partners and ensure accurate and timely data collection, reporting, and system functionality.
Essential Duties and Responsibilities:
Serve as the primary point of contact for HMIS-related activities within the agency.
Ensure compliance with all local, state, and federal HMIS regulations, including HUD HMIS Data Standards.
Provide training and technical assistance to all HMIS users across programs.
Monitor and ensure data quality by conducting regular audits and running data quality reports.
Assist with onboarding and offboarding of HMIS users, including account setup and security protocols.
Collaborate with community partners and the CoC’s Agency to maintain system integrity and address system-level issues.
Develop and maintain policies and procedures related to HMIS usage.
Prepare reports and data visualizations for internal stakeholders, funders, and community partners, including APR, CAPER, SPMs, and custom reports.
Support program evaluation and strategic planning by producing data insights and outcome reports.
Participate in HMIS user meetings, trainings, and relevant professional development.
Required Qualifications:
Associate's degree in Information Systems, Social Work, Public Administration, Data Management, or a related field; or equivalent combination of education and relevant experience
Minimum of 1 year of experience working with HMIS or another data management system in a nonprofit or housing services environment
Familiarity with HUD HMIS Data Standards and federal reporting requirements (e.g., APR, CAPER, SPMs, LSA, PIT and HIC)
Strong computer skills, including proficiency with Excel and web-based data entry platforms
Excellent organizational skills and ability to manage multiple deadlines
Ability to work independently and as part of a team in a hybrid environment
Strong attention to detail and a commitment to data accuracy and confidentiality
Strong interpersonal and communication skills, including the ability to train and support others
Preferred Qualifications:
Bachelor’s degree in Social Work, Information Systems, Public Administration, Data Analytics, or a related field
Two or more years of experience working directly with HMIS platforms (e.g., Bitfocus Clarity, WellSky, ServicePoint)
Experience working in a homeless services, housing stability, or nonprofit environment
Familiarity with HUD reporting tools and data requirements, including Annual Performance Reports (APRs), CAPER, and System Performance Measures (SPMs)
Experience providing training and technical support to end users or staff
Strong skills in data visualization or reporting software such as Power BI, Tableau, or advanced Excel
Knowledge of data privacy laws and security best practices (e.g., HIPAA, 42 CFR Part 2)
Ability to translate complex data into clear, actionable information for a variety of stakeholders
Knowledge, Skills, and Abilities:
Strong understanding of HUD HMIS Data Standards and Continuum of Care (CoC) regulations
Proficiency in using HMIS platforms (e.g. WellSky or equivalent)
Excellent data analysis skills; familiarity with tools like Excel, preferred
Strong communication and training facilitation skills
Attention to detail and commitment to data integrity
Ability to manage multiple projects and deadlines
Strong customer service and technical support orientation
Working Conditions and Physical Requirements:
This position requires a combination of remote work and in-office presence. The balance of remote vs. in-office work will be determined based on organizational needs and may vary week to week.
When on-site, work is performed in a standard office setting with access to computers, phones, and other typical office equipment.
Must have access to a reliable internet connection and a distraction-free environment for virtual meetings and data work. The organization may provide necessary hardware and software for remote tasks.
Must be able to remain in a stationary position (sitting or standing) for extended periods.
Frequent use of a computer, keyboard, mouse, and other office technology.
Occasionally moves about inside the office to access files, printers, and supplies.
May need to lift up to 25 pounds occasionally (e.g., laptops, file boxes, equipment).
Occasional local travel may be required for training, partner site visits, or in-person meetings.
Primarily Monday through Friday during regular business hours. Some evening or weekend hours may be required to meet reporting deadlines or attend community meetings.
Compensation and Benefits
Salary range: $55,000 - $61,500
