A private family is seeking a Hospitality & Service Coordinator to join their established household team and deliver polished, thoughtful, highly personalized service across their residences, entertaining, and travel.
Based primarily in New York City, this is a hands-on service role for someone whose instincts have been formed in truly elevated hospitality-ideally within a Michelin-starred restaurant, luxury yacht, five-star hotel, or similarly exacting private-service environment.
Candidate should have the awareness, high attention to detail, precision, timing, discretion, and anticipatory intelligence that come from the very highest levels of hospitality.
This is a role for someone who understands that exceptional service is about reading a room, noticing what others miss, knowing when to step forward and when to disappear, and creating an environment in which everything simply feels taken care of.
The Hospitality & Service Coordinator delivers elevated, hands-on, personalized hospitality service to the Principals and their guests across residential properties and travel environments.
Reporting to the Director of Personal Services, this role serves as the primary on-the-floor hospitality lead — personally executing meal service, overseeing guest experiences, directing event service teams, and ensuring seamless, consistent daily hospitality operations. This position blends front-line service execution with operational coordination, creating space for the Director of Personal Services to focus on strategic leadership, cross-property alignment, and long-term hospitality planning.
As the Personal Services structure continues to evolve, this role will progressively assume expanded operational leadership in refining service standards, strengthening team execution, and ensuring consistency across properties.
The role requires discretion, polish, anticipation, and the ability to confidently represent the household in direct interaction with Principals, guests, vendors, and affiliated entities.
Travel: Frequent travel as required based on hospitality needs and Principal’s request.
Front-Line Meal Service: In collaboration with Culinary Manager, personally provides meal and beverage service for Principals and guests at residences, aircraft, and events.
Guest Experience Leadership: Serves as the primary hospitality point of contact during gatherings and daily service periods.
Anticipatory Service: Maintains active awareness of preferences, rhythms, and expectations to deliver proactive, intuitive hospitality.
Request Coordination: Ensures all Principal and guest requests are fulfilled promptly and communicated clearly across teams.
On-Site Service Direction: Directs service flow during high-visibility moments and complex service environments.
Event Execution Lead: Leads on-site execution of Principal events across properties in partnership with the Director of Personal Services.
Service Staff Supervision: Provides real-time leadership and oversight of Hospitality Assistant(s), special event service staff, and temporary teams during events.
V endor Coordination: Directs on-site coordination of vendors, rentals, and event partners in alignment with established hospitality plans.
Service Design Implementation: Executes event design and tabletop planning as directed by the Director of Personal Services and Aesthetics & Estate Assets Manager.
Post-Event Documentation: Captures guest preferences, service notes, and operational insights for future planning.
Closet & Wardrobe Service Support: Oversees day-to-day execution of Principal closet readiness in coordination with appropriate teams. Maintains closet protocols and coordinates with estate teams to maintain wardrobe inventories.
Special Events Wardrobe: Assists with special events and on-camera wardrobe logistics under direction of Director of Personal Service supporting both Principals with proper documentation.
Tabletop & Entertaining Readiness: Ensures service items, tabletop elements, and entertaining materials are accurately inventoried, prepared, maintained, and presentation-ready.
All Properties & Stock List Coordination: Maintains communication for All Property stock check lists for homes and jets. Manages updates and changes to the lists alongside the Purchasing and Shipping Logistics Coordinator and in collaboration with Estate teams.
Food Cost Management - Leads management of food costs across all properties in collaboration with the Director of Personal Services, Culinary Manager, Estate teams, and Purchasing and Shipping Logistics Coordinator.
Wine & Beverage Execution: Oversees day-to-day wine service presentation and beverage, works with estate teams to ensure up to date inventory and adequate supply. Procures wine from cellar for the gifting department to ensure wine inventory is considered and moved in accordance to drinking windows.
Harvest Production – Coordinates with the Grounds Manager and Culinary Manager for harvesting of goods (wine, olive oil, honey, jams). Maintains proper inventories to reflect current available products for properties and gifting purposes.
Personal Effects Coordination: Documents and tracks proper fur maintenance, storage, and seasonal inventories. Documents luggage movements and inventories with proper conditioning and maintenance. Assists with jewelry collection maintenance and tracking in coordination with EA to COO and Director of Personal Services.
Cabin Crew Collaboration: Coordinates with flight crews to ensure onboard service meets established standards and expectations.
Travel Advance: Conducts travel advances (in-person or remote) to prepare hospitality environments ahead of Principal arrival under direction of the Director of Personal Services.
Hotel & Lodging Set-Up: Ensures hospitality standards are met and properly executed during Principal travel.
Day-to-Day Team Leadership: Provides coaching, modeling, and real-time service guidance to Hospitality Assistant(s).
Service Training Reinforcement: Supports training initiatives to maintain consistent hospitality standards across properties.
Protocol Implementation: Reinforces service protocols established by the Director of Personal Services.
Cross-Property Alignment: Ensures consistency of service experience across residences and travel environments.
