COMPANY DESCRIPTION


 


For 29 years, the International Festival of Arts & Ideas (“Arts & Ideas”) has inspired and delighted audiences with an annual program of over 200 performing arts and humanities events year-round, at least 85% of which are free. 


 


Focused events in June range from world and nationally-renowned speakers sharing the stage with critical local voices for discussions on democracy, to jazz concerts, theatrical performances, dance; takeout mixology classes; bike and walking tours; and live, individual performances by local on-call artists on front lawns and sidewalks throughout the area. 


 


Year-round programs include special town-hall events, a fellowship program for youth, planning and implementing mini-festivals in New Haven’s culturally-rich neighborhoods, participation in the NEA Big Read, and our annual Visionary Leadership Award program.


 


JOB DESCRIPTION



The Hospitality Manager will plan and implement the green room, meal, and food service needs of artists, speakers, and staff; and provide hospitality for VIPs, guests, and donors as required, particularly at post-show toasts, and in the Festival Center on the New Haven Green. Primary responsibilities include but are not limited to:


 


Food Service Planning and Preparation



  • Prepare detailed schedules of places, dates, times, where hospitality will be provided, including estimates of the staff and food/beverage/supply requirements for each, including all green rooms, meal services, and post show toasts.

  • Establish a standard set of menus including food and beverage items to be offered at each venue or event. Determine the appropriate quantities and equipment necessary for each set-up

  • Plan staff and Fellow meals during the Festival as necessary

  • Arrange contractually required artist and speaker meals

  • Prepare detailed and dated shopping lists of perishable and non-perishable goods; purchase goods in advance as necessary/applicable.

  • With the Company Manager, schedule, hire and train a staff of Hospitality Assistants, and supervise their activities.


 


Food Service Implementation



  • Arrange depot and retrieval of supplies and equipment at venues.

  • Schedule pick-up and drop-off runs for staff, supplies, and ice, etc.

  • Set up, refresh, and strike food service for artist green rooms, meals, toasts.

  • Set up, refresh, and strike food service for staff meals and snacks. 


 


Wrap Up



  • Organize and share any viable left-over food with food pantries etc.

  • Inventory and pack up supplies and equipment for use the following year.

  • Prepare a final, detailed report on all aspects of the above.

  • Write thank you notes to donors of goods and services.


                                                                                        


SKILLS/EXPERIENCE



Prior experience in company and/or stage management for the performing arts and hospitality a plus. The position requires an excellent attention to detail, multitasking, strong organizational and people management skills, and ability to work with food and in social settings. Calm troubleshooting and problem-solving skills are also required. Additionally, the position requires the use of MS Office Suite and associated web apps. The position requires excellent references.
