Job Title: Housing Specialist

Classification: Full Time/ Non-Exempt

Reports to: Director of HIV Client Services

Salary: $17.00 per hour

Summary: The Housing Specialist provides administrative, data, and client service support for housing programs funded through HOPWA and other grants. This position performs data entry, reconciles records, assists with reporting tasks, supports grant compliance and audits, and coordinates front desk/client interaction. Additionally, the Housing Specialist assists with housing program functions such as maintaining waiting lists, coordinating housing inspections, preparing reimbursement requests, and supporting client education and referrals.

Key Responsibilities

Data Entry & Records Reconciliation

• Enter accurate data into the State reporting system (TakeChargeTexas) and internal tracking spreadsheets.
• Review, reconcile, and validate service records across multiple platforms for accuracy and completeness.
• Maintain and update agency and client data within the electronic health record (EHR) system.
• Prepare and organize data for audits, compliance reviews, and scheduled reports.
• Generate routine and ad-hoc reports as requested by leadership.
• Maintain accurate and timely HOPWA records on clients, ensuring compliance with funding requirements.

Housing Program Support

• Assist with maintaining housing and financial assistance waiting lists.
• Help prepare monthly housing and utility reimbursement check requests.
• Support housing inspections by coordinating scheduling, documentation, and follow-up.
• Maintain current W-9s and housing documentation for landlords.
• Monitor client needs and compliance with HOPWA requirements in collaboration with case managers.
• Assist in developing and implementing individual housing plans with direction from the Housing Coordinator and case managers.
• Provide information to clients regarding housing programs, community resources, and related services.

• Utilize Microsoft Excel and other tools to manage spreadsheets, track housing data, and generate reports.
• Provide crisis intervention referrals as needed.

Qualifications/Experience

Required:

• High school diploma or GED.
• Prior experience with data entry, electronic health records, or administrative support in a social services or medical setting.
• Clean driving record, valid driver’s license, and current vehicle insurance.
• Ability to pass a background check and drug screening.

Preferred:

• Associate’s degree in social science or related field and/or case management experience
• At least one year of experience working with HOPWA, HUD, or other public housing/community resources.

Time/Physical Requirements

• Standard schedule: Monday–Friday, generally 8:00 AM–5:00 PM.
• Occasional evening and weekend activities may require schedule adjustments.
• Local travel to meet with clients/landlords as needed (10–20%).
• Ability to lift up to 25 lbs.
• Position based in an office environment with regular interaction with staff, clients, and community partners.
