Job Description - HR & Admin Officer

Department: Human Resources & Administration
Location: Corporate Office, Kalanki, Kathmandu


Position Summary


The HR & Admin Officer will be responsible for managing end-to-end HR operations, payroll processing, recruitment, and day-to-day administrative functions. The role requires ensuring compliance with company policies and labor laws while supporting efficient business operations.


Key Responsibilities
Recruitment & Talent Acquisition



  • Manage end-to-end recruitment, including sourcing, screening, interviewing, selection, and onboarding.

  • Coordinate induction and orientation programs for new employees.

  • Develop and maintain a talent pipeline to meet manpower requirements.


Payroll & Compensation



  • Process monthly payroll accurately and on time.

  • Maintain attendance, leave, overtime, and employee records.

  • Coordinate statutory deductions, including PF, SSF, TDS, and other payroll-related compliance.

  • Prepare payroll reports and support salary reconciliation.


HR Operations



  • Maintain employee personal files, HRIS, and all HR documentation.

  • Prepare appointment, confirmation, promotion, transfer, warning, and experience letters.

  • Support performance appraisal, employee engagement, and training initiatives.

  • Ensure compliance with the Nepal Labour Act and company HR policies.

  • Handle employee grievances and support disciplinary procedures.

  • Prepare HR reports, MIS, and manpower reports.


Administration



  • Oversee day-to-day office administration and ensure smooth operations.

  • Manage petty cash related to administrative expenses.

  • Coordinate with vendors for office supplies, housekeeping, security, transportation, travel, and accommodation.

  • Process vendor bills and coordinate timely payments with the Finance Department.

  • Maintain office assets, inventory, and administrative records.

  • Liaise with government offices and external agencies whenever required.


Qualifications



  • Bachelor's Degree or MBA in Human Resource Management, Business Administration, or a related field.

  • 3–4 years of experience in HR & Administration in a reputed organization.

  • Strong knowledge of payroll processing and Nepal Labour Act.
