Position Title: HR Coordinator
Position Type: Full-Time (40 hours/week), Non-Exempt
Reports To: Director or Program Operations 
Location: In-person, San Francisco, CA
Hourly Rate: $30.58/hour (non-negotiable per LYRIC’s equity-based pay model)
Union Status: Union position (OPEIU Local 29)

Founded in 1988, the Lavender Youth Recreation & Information Center (LYRIC) builds community and inspires positive social change through programs and services for LGBTQQ+ youth, their families, and allies across races, classes, genders, and abilities.



LYRIC offers school-based groups, internships, mentorship, housing navigation, healthcare and mental health referrals, and other youth development programs. Our work is guided by the following organizational principles:

Position Summary


LYRIC is seeking an organized and detail-oriented HR Coordinator to support the daily administration of our human resources systems and processes. This position functions as an HR generalist, with a primary focus on benefits administration, benefits payments, employee records, HR data, onboarding, offboarding, and other essential behind-the-scenes HR responsibilities.


The HR Coordinator helps ensure that employee information, benefits transactions, invoices, payments, and required documents are complete, accurate, confidential, and processed on time. The position also responds to routine employee questions, supports recruitment and onboarding, and assists with other People Operations projects.

What You’ll Do


Benefits Administration



  • Support employee enrollment in medical, dental, vision, acupuncture/chiropractic, retirement, and other benefit programs.

  • Process new enrollments, qualifying life events, eligibility changes, open enrollment elections, benefits terminations, and retirement-plan documents.

  • Maintain accurate benefits information in LYRIC’s HR systems and carrier portals.

  • Respond to routine employee questions about benefits, eligibility, enrollment, and required documentation.

  • Track enrollment deadlines and follow up with employees to obtain missing information.

  • Prepare benefits information and materials for new-hire orientation and open enrollment.

  • Coordinate with benefit providers, brokers, payroll staff, and internal leadership to address enrollment or billing issues.

  • Maintain confidentiality when handling employee health, benefits, and personal information.



Benefits Payments and Reconciliation



  • Review benefits invoices for accuracy and compare charges against current enrollment records.

  • Track invoices, payment deadlines, credits, adjustments, and discrepancies.

  • Prepare benefits invoices and supporting documentation for approval and payment.

  • Coordinate timely payments with Finance and other responsible staff.

  • Maintain organized records of benefits invoices, approvals, payments, and account changes.

  • Follow up with benefit providers to resolve billing discrepancies.

  • Assist with reconciling benefits deductions and employer contributions against payroll records.

  • Immediately communicate unresolved discrepancies or potential missed payments to the appropriate supervisor.



️ HR Systems and Employee Records



  • Maintain accurate and current employee information in BambooHR and other HR systems.

  • Enter new-hire information and update employee records following changes in position, compensation, benefits, supervision, or employment status.

  • Maintain confidential electronic and personnel files according to organizational policies and legal requirements.

  • Track required forms, certifications, acknowledgments, training records, and other employee documentation.

  • Maintain organizational charts, staff lists, job descriptions, salary records, and related HR materials.

  • Conduct regular reviews of HR records to identify missing, outdated, or inconsistent information.

  • Prepare routine HR reports and maintain accurate tracking spreadsheets.



Onboarding and Offboarding



  • Prepare and distribute new-hire documents and onboarding materials.

  • Coordinate background checks, required forms, system access requests, and orientation schedules.

  • Support new employees in completing required HR and benefits paperwork.

  • Update BambooHR and other internal systems with new-hire information.

  • Coordinate with supervisors, Operations, IT, Finance, and other departments to support a smooth onboarding process.

  • Prepare separation documents and coordinate benefits termination, final records, and system updates.

  • Maintain onboarding and off boarding checklists and confirm that each required step is completed.



Recruitment and Hiring Support



  • Post approved job openings and maintain recruitment files.

  • Organize applications and support interview scheduling.

  • Communicate approved logistical information to candidates.

  • Coordinate reference checks and background-check documentation.

  • Prepare approved offer letters and other hiring documents for review.

  • Track the status of open positions and required hiring steps.

  • Ensure recruitment records are accurate, complete, and stored appropriately.



Payroll and Compensation Support



  • Prepare and verify employee information needed for payroll.

  • Review benefits deductions, employment-status changes, compensation updates, and other payroll-related data for accuracy. 

  • Help identify and resolve discrepancies involving employee records, benefits, or payroll information.

  • Maintain documentation supporting approved compensation and employment changes.



HR Operations and Compliance Support



  • Support the consistent administration of established HR policies and procedures.

  • Help track required employee trainings, performance reviews, policy acknowledgments, and compliance deadlines.

  • Maintain organized records for audits, benefits reviews, reporting, and other compliance needs.

  • Prepare routine reports, summaries, and data requested by People Operations leadership.

  • Assist with employee surveys, benefits surveys, compensation research, and staff-recognition activities.

  • Help coordinate organization-wide trainings and HR-related meetings.

  • Identify missing information, process gaps, or approaching deadlines and communicate them promptly.

  • Support special projects and other People Operations responsibilities as assigned.

  • Perform other related duties as assigned.



Who You Are


You are a dependable and highly organized HR professional who understands that accurate behind-the-scenes work directly affects employees’ experiences. You pay close attention to details, meet deadlines, protect confidential information, and follow through when information is missing or a process is incomplete.


You communicate clearly and respectfully while understanding the appropriate boundaries of an HR support role. You know when you can answer a routine question and when an issue must be brought to your supervisor.


You bring:



  • At least two years of experience in human resources, benefits administration, payroll support, office administration, or a related field.

  • Experience supporting employee benefits enrollment, billing, payments, or reconciliation.

  • Experience using an HR information system such as BambooHR.

  • Strong attention to detail and experience maintaining accurate records.

  • The ability to organize invoices, payments, forms, deadlines, and supporting documentation.

  • Experience supporting employee onboarding, offboarding, or recruitment processes.

  • The ability to handle confidential employee and organizational information with discretion.

  • Strong written and verbal communication skills.

  • The ability to respond to employee questions professionally and promptly.

  • Strong organizational and time-management skills.

  • The ability to manage recurring responsibilities and multiple deadlines.

  • Proficiency with Google Workspace and Microsoft Office, particularly spreadsheets and shared documents.

  • The ability to follow established procedures and ask for clarification when expectations are unclear.

  • The ability to identify errors, missing information, and process concerns and communicate them promptly.

  • The ability to work independently while maintaining regular communication with a supervisor.

  • A commitment to providing accurate, respectful, and culturally responsive employee support.



Preferred experience includes:



  • Benefits invoice review, payment tracking, or account reconciliation.

  • Payroll coordination or payroll-data review.

  • Supporting open enrollment and qualifying life events.

  • Maintaining employee records in BambooHR or a similar HRIS.

  • Working in a nonprofit, unionized, or youth-serving organization.

  • Supporting employees across different roles, identities, and levels of an organization.

  • Knowledge of or experience working with LGBTQQ+ communities, particularly LGBTQQ+ people of color.



Compensation & Benefits


Hourly Wage: $30.58 per hour (non-negotiable, per LYRIC’s equity-based compensation model)
Schedule: Full-time, 40 hours per week, in-person
Union: This is a union-represented position with OPEIU Local 29
