Job Description - HR Management Services Administrator

This position is responsible for delivering comprehensive talent acquisition strategies and processes for both internal hires and HR direct placement for clients, the onboarding of new employees into HR Works, and providing HR support to designated clients.  Working closely with the Vice President of HR Management Services, this position will provide support to the HR Management Services team responding to inquiries, sharing resources, and maintaining process documents for consistent onboarding and ongoing service deliverables for both Consultants and clients.  This position will also actively participate in both internal and external recruiting efforts, and new employee orientation and help to implement a dynamic and seamless onboarding experience for all HR Works new hires.

Essential Functions:
  • Builds and maintains a robust pipeline of potential candidates through proactive sourcing, networking, and market research.
  • Partners closely with hiring managers to understand business needs and define role requirements.
  • Conducts initial screenings and delivers high-quality candidate slates that align with organizational goals.
  • Maintains accurate and up-to-date candidate records in the Applicant Tracking System (ATS), ensuring compliance and data integrity.
  • Manages pre-employment processes, including reference checks.
  • Leads and manages the direct placement process to ensure client satisfaction and successful hires.
  • Participates in the orientation and onboarding of new hires. 
  • Collaborates with VP, HR Management Services to design quarterly meetings; assist with content development and presentation logistics as needed.
  • Shares compliance and resource updates with HR Consultants; assist with helping HR Consultants navigate resources online.
  • Meets or exceeds annual target for billable work to support the HR Management Services divisions such as employee onboarding, compensation benchmarks, job description development, employee handbook development, and other HR functions and projects.
  • Provides onsite HR support for clients, as needed. 
EDUCATION & EXPERIENCE
  • Bachelor's degree in business, Human Resource Management or a related field and a minimum of at least five years in human resources project management, training and development and/or managing all phases of the recruitment and hiring process is required.
  • Experience with program development, implementation, management and evaluation is required.
  • SHRM-CP/SHRM-SCP or PHR/SPHR is strongly preferred.
  • Experience recruiting human resource professionals is preferred.
KNOWLEDGE, SKILLS & ABILITIES
  • Excellent verbal and written communication skills; grammar, writing, and proofreading skills. 
  • Excellent customer service and relationship building skills.
  • Ability to consistently maintain a positive and professional demeanor while effectively managing multiple priorities.
  • Excellent time management and problem-solving skills, with a proven ability to meet deadlines.
  • Ability to manage projects from conception to implementation, organizing details and collaborating across the organization as needed.
  • Dedication to continuously engaging employees, virtually and on-site, and promoting professional development opportunities.
  • Experience networking through established organizations, social media, and other outlets to build a pipeline of candidates.
  • Familiarity with laws, regulations, and best practices applicable to hiring and recruitment.
  • Knowledge of EEO and Affirmative Action laws and regulations is preferred.
  • Proficient with applicant-tracking software or other recruitment systems, as well as Microsoft Office Suite.
  • Ability to travel locally as needed and to travel across NY state occasionally; a driver’s license is required. 
This position is performed onsite at our Fairport Office, with the option for a hybrid schedule, with management approval.
