Job Description - HR Operations Analyst

In Office:

2 days a week
Time:

6 months
Working Hours:

7.5 hours per day, 9 – 5:30 pm with an hour for lunch

Responsibilities:
Guided by department objectives and priorities and under general supervision, processes and audits HR System transactions for employees, partners, and contingent workers. Services the firm’s HR Hotline via phone and email. Responds to all employment verification, subpoena, and HR file requests from internal and external clients. Responds to ad hoc report requests. Performs various administrative tasks, supports various HR projects, manages employee, partner and client requests, and administers HR Policies and Procedures, as needed. Assists the HR System Analysts with addressing system and business process issues. Ensures client services and satisfaction are attained in all areas of position.
HR System Processing Support
Act as tier 1 support for HR Department, review and approval of all Workday HR transactions entered via Employee Self-Service and Manager Self-Service. Complete data entry for all hires sent from Taleo to Workday, and contingent worker hires.
Perform audit and compliance to ensure consistent and accurate data. Manage updates and data corrections.
Support data entry based on former employee or partner request or for projects such as the bar stipend process, partner promotions, etc.
Research and resolve data issues. Ensure processing is done accurately and on a timely basis. Make data corrections as necessary. Work with HR System Analysts to identify data processing issues, and when needed, provide users with tips regarding their transaction processing.
Audit HR data on a regular basis by reviewing scheduled audit reports (Workday Upload Audit, Payroll Audit Report, etc.).
Develop communications to offices advising of any changes to business processes or procedures.
. Maintain team documentation to include HR Systems Administrative Reference Guide.
Work with HR Systems Analysts to support Workday and other HR systems projects, including system upgrades, new functionality, new/revised business processes, etc. Assist with testing, training, documentation, and auditing tasks, as needed.
Make suggestions on process improvement related to technical issues and efficiencies.
Ad Hoc Reporting
Handle Ad Hoc report requests, utilizing Workday and Taleo reports and Excel tools.
Respond to Ad Hoc requests based on the established service standard and ensure that the report request is based on sound business need, information is accurate, and meets the needs of the requestor.
Ensure compliance with data confidentiality policies and US and global data privacy laws (GDPR, CCPA, etc.) by verifying that the requestor has access rights to the requested data, and confirming with the firm’s Privacy & Data Security Analyst when needed.
Assist with Government Reporting
HR Administration Support
1. Manage HR Hotline and shared HR email box, per rotation schedule.
2. Process responses to employment verification requests, affidavits, subpoenas, and FBI requests for HR file reviews as required.
3. Respond to employee and partner HR file requests.
HR Policies, Procedure, and Program Administration
1. Provide and coordinate HR policy interpretation and guidance to employee and partners.
2. Analyze routine and non-routine HR issues that may or may not have a precedent and identifies solutions.
3. Assist in analyzing HR business processes and make recommendations for improvement.
4. Administers electronic I-9 form to meet compliance requirements and manages E-Verify processes. As appropriate conducts training on I-9 Administration for local office administrators and recommends retraining and education programs as needed.
Education and Experience
Bachelor's degree preferred or equivalent combination of education and HR systems experience required.
2 years prior experience with officer operations and/or Human Resources Operations preferred.
Excel experience with hands-on experience developing and enhancing custom reports.
Prior experience with system testing a plus.
