Job Description - HR Operations Assistant (Part Time)

The HR Ops Assistant provides administrative support to the People & Culture department, and is responsible for assisting in such functions as: On-boarding, HR administration, support of Employee Relations, Talent Acquisition and HRIS administration including records maintenance and compliance.

Recruitment

* Assist TA Manager with the recruitment process, ensuring a smooth and efficient hiring experience.

* Post job openings on various platforms including company website, job boards, etc.

* Assist with coordinating interview schedules between candidates and hiring teams.

* Serve as the secondary point of contact for hiring managers throughout the recruitment process.

* Provide timely and professional communication to hiring managers.

* Assist with updating and maintaining candidate information in the ATS.

* Assist with updating and maintaining all recruitment trackers.

* Collaborate with Onboarding Coordinator to facilitate the smooth transition of new hires into the company.

* Ensure recruitment practices comply with federal, state, and local regulations.

* Participate in recruitment events such as job fairs and college recruiting initiatives.

HR Administration

* Maintain Human Resources Information System (HRIS) including data entry in Workday, facilitate the process of employee actions and continually audit the system data for accuracy and completeness.

* Generate and distribute ad hoc HR reports via Workday as requested by management.

* Serve as the onboarding point of contact. Work with the People & Culture Leadership and Hiring Managers to determine upcoming staffing needs and facilitate the hiring process from recruitment to onboarding of new team members.

* Facilitate onboarding process including conducting background and reference checks, generating offer letters, verifying employment eligibility timely, conducting new hire orientation, and assisting in new team member account access setup (Workday).

* Maintain filing and document storage systems including personnel, employee relations, I-9, and other sensitive team member files.

* Audit electronic and physical files to ensure data is complete and accurate. Archive files of former employees on a regular basis and maintain file archive database.

* Serve as a liaison with Payroll to investigate discrepancies, and ensure employees are paid correctly and in a timely manner.

* Respond to information requests (Unemployment appeals, Department of Labor requests, etc.).

* Ensure that employee referral program payments are tracked and processed timely.

* Provide administrative support to the People & Culture team including, maintaining tracking spreadsheets, copying, etc.

* Expedite communication between clients and staff by assessing client inquiries, gathering and delivering information, forwarding inquiries as appropriate, and other administrative support as needed.

* Other duties as assigned.

Required Skills & Experience

* 1-2 years of human resources experience at a professional level.

* Minimum 1 years of HRIS experience, specifically with Workday.

* Prior demonstrated work experience handling confidential and sensitive data as part of job responsibilities.

* Strong organization skills, attention to detail and ability to adapt to changing priorities. Excellent follow through.

Nice to Have Skills & Experience

* Bachelor's degree in Human Resources or relevant field preferred.

* Exposure to HR administration, recruiting, benefits and training.
