Job Description - HR Representative / Office Administrator

 


JOB FUNCTION: This dual-role position is responsible for supporting core HR functions such as recruiting, onboarding, employee relations, and benefits coordination while also managing day-to-day office operations to ensure a productive and welcoming environment.


 


JOB DUTIES:


Human Resources Duties



  • Support the recruitment process, including reviewing resumes, coordinating interviews, and running background and pre-employment drug tests.

  • Assist in the onboarding and offboarding process for employees.

  • Maintain employee records and ensure payroll data is accurate and up-to-date.

  • Help coordinate benefits administration, open enrollment, and employee communication.

  • Provide general support for employee relations matters, escalating to HR leadership as needed.

  • Support performance review tracking and training coordination.

  • Review weekly timecards and vacation requests for submittal to payroll for processing.

  • Ensure compliance with federal, state, and local employment laws and company policies.


 


Office Administration Duties



  • Manage office supplies and equipment, placing orders and tracking inventory.

  • Greet and assist visitors and serve as the main point of contact for general office inquiries.

  • Coordinate company events, meetings, and internal communications.

  • Review incoming invoices and match with packing slips to ensure accuracy.

  • Manage and coordinate employee uniform program through Cintas.

  • Utilize ERP system to upload documents and place purchase orders with vendors.


 


KNOWLEDGE & SKILLS:



  • Strong knowledge of HR practices and employment regulations.

  • Proficiency in Microsoft 365 Products.

  • Ability to maintain confidentiality and handle sensitive information

  • Detail-oriented with strong organizational and multitasking abilities

  • Excellent written and verbal communication skills, with a strong attention to detail.

  • Ability to manage multiple tasks and prioritize effectively in a fast-paced environment.


 


EDUCATION & EXPERIENCE:



  • Bachelor’s degree in Accounting, Finance, or related field.



  • 2+ years of experience in HR and/or office administration.


 


PHYSICAL REQUIREMENTS:



  • Prolonged periods sitting at a desk and working on a computer.



  • Must be able to lift up to 15lbs at times (e.g., files, office supplies).

  • Ability to move throughout the office to access files, printers, and other equipment.

  • Visual acuity required for viewing computer screens and reading printed documents.
