Job Description - Human Resource Coordinator

Position Summary: Under the direction of the Chief Human Resource Officer, the Human Resources Coordinator supports the day to day function of Human Resources by assisting with general HR administration regarding recruitment, onboarding, performance management, certification tracking, training and development, legal compliance, monthly reporting and other human resource projects and needs. 

Essential Responsibilities

  • Maintain employee personnel files to ensure legal compliance.
  • Ensure all employee data change forms are entered timely and accurately and filed in the appropriate employee file; manage annual transition of terminated employee files to storage.
  • Work with IT partner to ensure setup and closure of employee email and network accounts and related security access upon hire and termination of employment.
  • Prepare offer packets, benefit packets and other employee related information.
  • Prepare/review employee files upon hire to ensure compliance for licensure reviews.
  • Support the Recruitment Specialist through maintaining interview tracking tools, master schedule updates, processing onboarding and supporting and responding to new employees’ needs during orientation.
  • Schedule interviews, conduct background screenings and FIT testing (on or offsite), fingerprint candidates and manage Rapback database upon hire, termination and annually as needed. 
  • Conduct entry level interviews as needed and in the absence of the Recruitment Specialist.
  • Work with HELP Nurse or TPA to validate eligibility for FIT testing prior to the test and to verify application requirements to allow attendance for medication administration courses.
  • Manage assignment of and notification of required employee annual training, performance management completion (90-day/annual) and pending expiration of required licenses and certifications, including notification to management of expirations requiring immediate removal from the schedule.
  • Assist with the creation of training materials and HR form updates as needed.
  • Assist with providing research for policies, training, strategic planning, and other human resource issues.
  • Add or remove new and terminated employees in the RAPBACK criminal records check system and reconcile monthly invoices.
  • Completion of weekly, monthly, quarterly, and annual reporting (turnover, budget data, I-9 maintenance, etc.)
  • Provide general administrative support to the Human Resources department and as needed by the Agency by responding to incoming calls and guests arriving at the main entrance and by providing timely assistance to Agency team members regarding human resource questions and issues.  
  • Respond to employment verification requests; occasionally manual replies may be necessary. 
  • Follows up on transcript requests and education verification requirements for new hires as needed.
  • Assists with distribution of annual labor law posters to ensure Agency compliance.
  • Assist with additional department mailings, tasks or projects, as assigned.

Requirements

  • High School diploma or equivalent, associate’s degree in business administration or higher preferred
  • At least 1-2 years of experience in human resources, payroll, recruiting or administrative support
  • Working knowledge of basic HR practices, confidentiality requirements, and personnel file standards
  • Proficiency in Microsoft Office products (Outlook, Word and Excel are required at an above average level) and comfort learning HRIS or applicant tracking software and systems
  • Strong organizational skills with the ability to manage multiple priorities and meet deadlines.
  • Excellent organizational, conversational, follow-up and writing skills.
  • Clear, professional communication skills – both written and verbal
  • Consistent professional presentation of self, including appropriate attire, demeanor, and interpersonal conduct when representing the department and/or Agency
  • Ability to maintain strict confidentiality and handle sensitive information appropriately
  • Demonstrated attention to detail and accuracy in data entry and documentation
  • Ability to work independently and collaboratively with employees, supervisors and external partners
