About the Role:


To ensure the smooth day-to-day operation of the Human Resources office. Assists the Human Resources team with team member and candidate experience through responding promptly to inquiries and requests in-person and via phone and email. Maintains filings, distributes paperwork and mail, and assists with various other administrative duties.


Essential Functions:



  • Manages day-to-day activities of the Human Resources office.

  • Converses politely with team members, guests, and candidates to assist them and handle inquiries. Responds to inquiries with accurate information and records in all relevant files.

  • Organizes, files, and retrieves documents in appropriate personnel files and binders in order to maintain essential records used in the department's operation.

  • Accepts, reviews, and logs applications and various other documentation, directing it to the appropriate personnel.

  • Operates office machines including but not limited to printer, copier, fax machine, and label/nametag makers.

  • Answers the telephone within three rings and responds to caller inquiries speaking in a clear, pleasant manner.   Exercises decision making skills to direct callers’ requests.  Accurately records messages for staff and distributes the written messages to the staff members in a timely manner.

  • Distributes printed documents to appropriate people and locations to ensure prompt processing.  Transports printed documents weighing up to 10 lbs. to offices, mailrooms and other locations throughout the hotel building.  Retrieves documents from and places documents into proper receptacles.


Supportive Functions:


In addition to performance of the essential functions, this position may be required to perform a combination of the following supportive functions, at the discretion of the manager based on the particular requirements of the hotel.


 



  • Organizes Human Resources office supplies and storage spaces. Determines supply needs and executes requisitioning process to replenish supplies. 

  • Tracks progress of routine paperwork requiring routing for approval or processing by other departments or staff members.

  • Assists with office functions, including benefits, recruitment, employee engagement, etc. as directed by the Director and Managers.


 


Job Knowledge, Skills, and Abilities:


The individual must possess the following knowledge, skills and abilities and be able to explain and demonstrate that he or she can perform the essential functions of the job, with or without reasonable accommodation, using some other combination of skills and abilities.



  • Working knowledge of the Microsoft Office Suite, including Word and Excel

  • Basic secretarial knowledge such as business letter formats and telephone etiquette

  • Ability to effectively deal with internal and external customers.

  • Ability to sit, walk, and continuously perform essential job functions for a nine-hour shift.


Qualifications:


Education:


Any combination of education, training, or experience that provides the required knowledge, skills, and abilities.  High School diploma preferred.


Experience:


One to two years in an administrative or secretarial position preferred.


Licenses and Certificates:


No special license required.
