DEPARTMENT: Human Resources



 


REPORTS TO: Human Resources Manager



SHIFT: 1st Shift (Monday-Friday 6:00a-2:30p)



FLSA: Hourly (Non-Exempt)



DUTIES/RESPONSIBILITIES

  • Provide administrative support for Human Resources and Accounting functions ensuring efficient daily operations and excellent customer service.

  • Maintain confidential employee personnel files, HR records and accounting documents in accordance with organizational policies and applicable regulations.

  • Assist with recruitment activities, including posting job openings, scheduling interviews, preparing hiring documentation, and coordinating onboarding activities.

  • Process and track personnel actions such as new hires and employee separations.

  • Respond to employee inquiries regarding benefits, payroll and general employment-related matters.

  • Assist with employee benefits administration, including new enrollment, changes, and communication with management and production employees.

  • Maintain HR information systems and databases by entering, updating, and auditing employee and payroll-related information.

  • Coordinate recognition programs and other employee engagement initiatives.

  • Assist Accounting Manager with accounts payable and accounts receivable functions, including data entry, invoice processing and problem solving.

  • Reconcile invoices, purchase orders, and related financial documentation to ensure accuracy and compliance with established procedures.

  • Process vendor invoices and other routine financial transactions in accordance with organizational policies.

  • Generate routine financial and HR reports for management review.

  • Coordinate with vendors, employees, and external agencies to obtain information and resolve routine administrative issues.

  • Ensure compliance with applicable employment laws, accounting practices, and organizational policies.

  • Perform other related duties and special projects as assigned.


Physical Requirements



  • Prolonged periods of sitting and working at a computer.

  • Ability to occasionally lift and carry office materials weighing up to 40 lbs.

  • Ability to communicate effectively in person, by telephone, and through electronic communication.


Key Competencies



  • Knowledge of human resources principles, practices and confidentiality requirements.

  • Basic knowledge of payroll, bookkeeping, accounts payable, and accounts receivable process.

  • Strong organizational skills and attention to detail.

  • Proficiency in Microsoft Office Suite, HRIS systems and accounting software.

  • Ability to handle sensitive and confidential information with discretion.


EDUCATION, KNOWLEDGE AND EXPERIENCE


Required Skills/Abilities: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required.



  • High School Diploma or equivalent required.

  • Two (2) years of progressively responsible administrative support experience, preferably in Human Resources, Accounting, Payroll, or related office environment.

  • Experience maintaining confidential records and handling sensitive information with discretion.

  • Ability to prioritize multiple tasks and meet deadlines in a fast-paced environment.

  • Self‑motivated with strong interpersonal, communication, and organizational skills, able to foster a team-oriented environment.

  • Proficient computer skills, including Microsoft Office.

  • Detail-oriented, organized, and able to work independently with strong problem-solving abilities.

  • Strong business grammar skills and accurate spelling; able to communicate effectively both verbally and in writing.

  • Ability to establish and maintain effective working relationships with employees, management, and the public.

  • Must always maintain confidentiality.

  • Ability to travel as needed.

  • Valid driver’s license required. Motor Vehicle records check and monitoring required for this position.

  • Travel may be required as needed.
