The HR Administrator (Benefits and Payroll) is responsible for the overall management of the US compensation and benefit programs including the administration of policies and practices. This position ensures consistent administration of programs in compliance with policies and governmental regulations. This role is not 'back-office' management and requires regular high-touch communications with employees and is a key position on the Client Team.
Reporting to the Head of People, this individual will have ownership of Benefits and Payroll administration and is expected to act with a high degree of autonomy and accountability. This role offers an opportunity to shape how we think strategically about our systems and process as it relates to Total Rewards.
How You'll Do It:
Benefits & Payroll Operations / Transactional:
Program management of all benefits and retirement programs, including vacation, holiday, time off, leave of absence, retirement plans, disability, flexible spending, group health/medical/dental coverage, vendor management, wellness and health education initiatives, life insurance, and more.
Performs routine tasks related to compensation/payroll, benefits, and leave; occupational health and safety.
Administers FMLA and disability administration; play key coordination roles between employees and state agencies.
Maintains and updates employment records in the HRIS regarding salary changes, titles, status updates, etc.
Process bi-weekly payroll using Insperity payroll system for our US employees.
Process paycheck adjustments, reconcile discrepancies and post adjustments in the payroll system.
Responsible for onboarding new hires for both payroll and benefits.
Enhance and create HR Administration SOPs.
Compliance:
Ensures compliance with federal, state, and local employment laws and regulations, and recommended best practices; reviews policies and practices to maintain compliance.
Ensures compliance with annual reporting requirements like EEO-1 reporting, HIRD, etc.
Partner with an external legal partner and internal group to roadmap and execute plans for compliance initiatives.
Evaluate systemic issues and consult with key stakeholders to develop and refine processes and policies.
Perform Year-end processes including W-2 auditing and balancing.
Assist with audits including year end corporate, 401K and Workers Compensation.
High-Touch Service:
Researches, resolves, and responds to employee benefit inquiries and issues.
Provides guidance and assistance to employees related to benefit enrollments, benefit issues, leave administration, HRIS questions and employment verifications.
Prepare Ad Hoc reports as deemed necessary by management.
What You Need to Succeed:
Minimum 5-7 years strong HR Generalist background including Benefits, LOA Administration and HRIS.
Excellent verbal and written communication skills.
Strong interpersonal, negotiation, and conflict resolution skills.
Excellent organizational skills and attention to detail.
Time management skills with a proven ability to meet deadlines.
High level of customer service skills.
You enjoy building things and continually strive to do things better than the status quo. You are intellectually curious with an ability to work with a high degree of autonomy through ambiguous circumstances.
Ability to act with integrity, professionalism, and confidentiality.
Thorough knowledge of employment-related laws and regulations.
Proficient in Microsoft Office Suite.
Proficiency in or the ability to quickly learn HRIS and talent management systems.
