Essential Job Functions

Answers telephone and greets visitors, provides information or assistance, and refers to appropriate personnel. Responsible for all facets of front office activities.
Responds to open records requests, redacts files, and archives records.
Responds to general inquiries regarding employee benefits, training, risk management, development, and employment. Ensures adequate supply of forms and informational brochures are available.
Utilize and navigate a library of systems and computer platforms to complete data entry and obtain relevant information to provide customer service.
Distributes mail and deliveries to all members of the department.
Explains on-line application process to applicants.
Assists employees with self-service for benefits applications and other changes as necessary.
Performs personal identification and demographic changes/actions in all HR information systems.
Filling documentation for personnel records through archives and digitally filling documentation through digital platform, currently Intellinetics.
Retrieve all files needed from City Archives.
Processes verification of employment verifications and requests for current and former employees.
Create employee badges as requested.
Completes timekeeping entries for the Office of Human Resources Staff.
Assist with additional tasks when needed such as I-9 and E-Verify filling and completion.
Assist in scheduling needs for events and recruitments.
Maintains and schedules appointments with outside representatives (ICMA, etc.).
Assists with distribution and mailing of information to employees and departments.
Assist Senior Administrative assistant with additional duties such as department events, staff meetings, department vehicle maintenance scheduling and drop off.
Assists with projects for department as assigned.
Performs other related duties as assigned.
Minimum Qualifications

Requires High School Diploma with two years administrative support experience, including at least six months word processing, data entry, and customer service experience in an office setting; or an equivalent combination of education, training, and experience.

Experience in personnel/human resources preferred.

Work Schedule: Monday - Friday 8:15 a.m. - 5:00 p.m.
Work Location: 5515 Abercorn Street Savannah, GA

Additional Requirements
Background investigation, including supervised drug screen, post-offer/pre-employment medical screen; and verification of education, certifications, and licenses required prior to employment.

MINIMUM STANDARDS:
SUPERVISORY CONTROLS: None

GUIDELINES: Guidelines include purchasing policies, personnel policies, generally accepted accounting principles, department standard operating procedures, and supervisory instructions. These guidelines are generally clear and specific but may require some interpretation in application.

COMPLEXITY: The work consists of related administrative and clerical duties. Frequent interruptions contribute to the complexity of the position.

SCOPE AND EFFECT: The purpose of this position is to provide administrative and clerical support to the department. Successful performance results in the efficiency of department operations.

PERSONAL CONTACTS: Contacts are typically with co-workers, other city employees, job applicants, vendors, and the general public.

PURPOSE OF CONTACTS: Contacts are typically to give or exchange information, provide services, and resolve problems.

PHYSICAL DEMANDS: The work is typically performed while sitting at a desk or table. The employee occasionally lifts light objects.

WORK ENVIRONMENT: The work is typically performed in an office.
