Human Resources Associate

Position Summary

The HR Associate supports key functions within human resources by providing technical assistance across various administrative processes. This role ensures compliance with established policies and government regulations while maintaining accurate employee records. Responsibilities include resolving system-related issues such as onboarding errors, benefit discrepancies, and data updates, as well as conducting regular audits to ensure data integrity. The HR Associate collaborates with internal teams, candidates, and vendors, requiring strong communication skills and a high level of confidentiality. Success in this role requires strong attention to detail, analytical abilities, and the capacity to manage multiple priorities in a fast-paced environment.

Duties and responsibilities

• Manage new hire processes. Verify I-9 employment eligibility documents for new hires; process E-Verify submissions and track tentative non-confirmations. Distribute and track HR forms including new hire paperwork
• Process personnel action requests in HR information systems: process terminations, record salary changes, and update position information.
• Maintain employee personnel files: organizing documentation, ensuring completeness, filing new records, and purging according to retention schedules.
• Respond to routine HR inquiries from employees and managers about policies, procedures, and HR process status.
• Prepare employment verification letters, salary confirmation letters, and other routine HR correspondence upon request.
• Perform other similar and related duties as required.

Minimum qualifications:

Associate’s degree or two-year college equivalent (60 undergraduate semester hours) and at least two years of prior related work experience.

Preferred qualifications:

• Experience with HRIS and data management, preferably Workday

• Strong organizational skills and time management skills with attention to detail.

• Excellent communication and interpersonal skills.

• Familiarity with compliance requirements and HR reporting processes.
