Job Description - Human Resources Representative

Company: Pencor Services, Inc. 


Shift: Monday-Friday, 8AM-5PM

The Human Resources Representative will oversee and administer the Company’s leave requests and accommodations, ensuring compliance with regulations like FMLA and ADA and providing support to employees, managers and the executive team regarding leave requests and processes.  The Human Resources Representative will also work with outside vendors regarding administration of the plan and plan design.



Essential Functions:



  • Handling the FMLA leave administration process from the employee’s initial notice of the needs for leave to the ability to return to work 

    • This includes gathering and completing all required paperwork, determining leave eligibility, designating leave as FMLA-qualifying, requesting medical certification as needed and accounting for intermittent and reduced schedule leave use



  • Completing the entry of time into the company’s Time & Attendance system for accurate payroll processing of all leave employees

  • Advising managers and employees on the interaction of leave laws with paid time off, workers compensation or other leave(s

  • Facilitating other leave requests, which may include accommodation requests under the ADA

  • Administering other company time-off programs as assigned in accordance with internal policy and applicable laws

  • Maintaining complete and accurate records of leave and accommodation requests in accordance with specific legal requirements and documentation of best practices

  • Preserving confidentiality of employee medical documentation and files

  • Maintaining knowledge of all applicable leave and accommodation laws including FMLA, ADA and state and local laws

  • Scheduling required Medical Examinations for Company CDL Drivers in compliance with federal, state and local laws

  • Scheduling and managing the company’s Quarterly Random Drug and Alcohol Screening program for Company Drivers

  • Responding to employees, managers and supervisor’s needs via phone or email in a timely and accurate manner

  • Assisting with quarterly Safety Training Meetings

  • Gathering data and preparing reports for management as requested

  • Other duties as assigned


Qualifications:



  • College Degree in Human Resources OR Bachelors degree with SHRM-CP / SHRM-SCP/PHR/SPHR Certification

  • Two years Human Resources experience preferred

  • Established residency in Pennsylvania

  • Valid PA Driver's License and good driving record

  • Completion of specialized certification or training in FMLA / Leave Administration a plus

  • Extensive knowledge of the leave requirements and other legal protections afforded by the FMLA, ADA and other applicable laws

  • Working knowledge and proficiency using Microsoft Office - Outlook, Word, Excel and PowerPoint

  • Familiarity with Indeed, BambooHR and JDEdwards/Oracle HRIS knowledge is a plus

  • Excellent Communications Skills - Oral and written

    • Must be able to communicate effectively when dealing with associates, supervisors and employees



  • Exceptional Organization Skills - strong attention to detail and accurate documentation

  • Ability to maintain a high level of confidentiality and discretion

  • Ability to multi-task

  • Ability to use standard office equipment such as fax, copier, scanner and telephones

  • Ability to effectively perform tasks in an office setting that requires prolonged periods of sitting at a desk and working at a computer

  • Ability to perform additional physical activites such as storing files/records and preparing for employee events as needed

  • Ability to travel within our company footprint as needed


*After satisfactory completion of an introductory period, you may have the opportunity to work from home (telework), up to 2 days a week as needed and approved. Telework requires your home to be capable of access to a company paid high-speed Internet connection and having a quiet dedicated space in which to work.
