HVAC Billing Specialist

With offices in West Chester and Coatesville, PA, SSH Facilities has an exciting opportunity for a Billing Specialist.

 We are currently seeking a Billing Specialist that would be responsible for generating accurate and detailed billing for HVAC service, repair, and maintenance work. This role involves working closely with technicians and service managers to ensure all billable items are properly recorded using industry-specific software.

Essential Functions and Responsibilities

Key Responsibilities:

• Create and process detailed invoices for HVAC service, repair, and maintenance jobs
• Review technician work orders and job tickets for billing accuracy and completeness
• Enter and track billing data using industry-specific software
• Ensure parts, labor, and service charges are correctly applied per company guidelines
• Communicate with service managers, dispatchers, and field technicians to clarify billing details
• Resolve billing discrepancies and respond to client inquiries professionally and promptly
• Maintain organized records of billed jobs and support month-end invoicing processes
• Assist with collections and follow-up on outstanding invoices as needed
• Support finance and operations teams with additional administrative tasks

Qualifications:

• 5+ years of billing or invoicing experience (HVAC industry preferred)
• Experience with HVAC-specific software (e.g., ServiceTitan, FieldEdge, or similar) is a plus
• Strong attention to detail and accuracy in data entry and billing
• Excellent communication and customer service skills
• Proficient in Microsoft Office, especially Excel and Outlook
• Ability to take ownership of billing work.
