HVAC Service Billing and Accounting Specialist

This is a full-time, direct placement role at Florida Mechanical.

Job Summary: The HVAC Service Billing and Accounting Specialist will be responsible for the accurate and timely billing of commercial HVAC service contracts, repairs, installations, and maintenance agreements. This role requires strong attention to detail, proficiency in accounting practices, and experience using Spectrum software for job costing and accounting functions. 

Key Responsibilities: 

• Generate, review, and distribute invoices for commercial HVAC services, maintenance agreements, and projects. 

• Process accounts receivable, ensuring timely collection and resolution of billing discrepancies. 

• Reconcile service reports and technician work orders with customer invoices. 

• Utilize Spectrum software for job costing, invoicing, financial reporting, and data entry. 

• Prepare and maintain accurate financial records, including billing statements, payment receipts, and aging reports. 

• Respond to customer billing inquiries and resolve disputes professionally and efficiently. 

• Coordinate with service managers and technicians to ensure accuracy and completeness of billing data. 

• Support month-end closing activities, including reconciliation of service revenue accounts. 

• Provide regular financial reports to management, highlighting key billing and accounting metrics. 

• Assist with payroll entry and reconciliation as needed. 

Requirements

• High school diploma or equivalent; associate's or bachelor's degree in accounting or related field preferred. 

• Minimum of 2 years experience in billing and accounting, preferably within a commercial HVAC or construction environment. 

• Prior experience and proficiency using Spectrum software strongly preferred. 

• Strong knowledge of billing practices, accounting principles, and financial reporting. 

• Excellent organizational skills and attention to detail. 

• Ability to communicate effectively and professionally with customers and internal teams. 

• Proficiency in Microsoft Office applications, particularly Excel and Outlook.  

Preferred Skills: 

• Familiarity with commercial HVAC terminology, job types, and industry standards. 

• Experience with job costing and analysis within Spectrum software.
