The Parts & Inventory Coordinator supports Hooper’s HVAC Service Division by ensuring technicians have the right parts and equipment—on time and accurately tracked. This role is vital to field productivity and operational flow, involving daily deliveries, inventory oversight, warehouse organization, vendor coordination, and compliance with environmental standards.
Key Responsibilities
Daily Logistics
Pick up and deliver jobsite equipment and parts each morning (1–2 hours).
Deliver technician-requested parts throughout the day as needed (largest time variable).
Pull and stage filters/parts for technicians; verify usage and accountability.
Inventory Management
Issue inventory to technician bins daily (~30 minutes).
Monitor inventory levels and reorder stock proactively.
Organize and label incoming parts from central receiving.
Track technician van inventory and manage restocking accuracy.
Ensure refrigeration materials are properly recorded in COINS by technicians.
Refrigerant & Environmental Compliance
Manage the refrigeration recovery and recycling process in compliance with EPA and company standards.
Track recovered refrigerant; coordinate proper labeling, storage, and recycling.
Support techs in accurate logging of refrigerant usage, recovery, and disposal.
Vendor & Cost Control
Negotiate with vendors to ensure competitive pricing and maximize purchasing value.
Maintain strong vendor relationships while monitoring product quality and service reliability.
Return unused parts to vendors in a timely, documented manner.
Maintain accurate list of vendor contacts
Warranty & Returns
Process warranty claims when applicable.
Retain claimed warranty parts for 30 days before appropriate disposal.
Team Support
Locate and source parts for Account Managers and Service Coordinators.
Maintain a clean, safe, and well-organized mezzanine and parts storage area.
Requirements
Qualifications
Experience in HVAC, construction, inventory control, or warehousing preferred.
Knowledge of HVAC systems, refrigerants, and EPA regulations is a plus.
Prior experience in vendor negotiation and purchasing is highly desirable.
Valid driver’s license with a clean driving record required.
Strong attention to detail, time management, and communication skills.
Capable of lifting and handling heavy parts and equipment.
Proficient with basic inventory or service software (e.g., COINS).
Work Environment
Primarily warehouse and field based.
Involves regular lifting, driving, and exposure to varied weather conditions.
