Job Description - Information Research Specialist

Information Research Specialist 1 - LANL Research Library (DOE/LANL)


Location: Los Alamos, NM | 100% Onsite | TA-3, Building 207 (Oppenheimer Building)


Compensation: $34-$39/hr Schedule: 4/10s Mon-Thu or 5/8s (40 hrs/week)


Duration: Short-term contract through 09/30/2026 | Extension possible | Conversion potential if project completes ahead of schedule


Citizenship: U.S. Citizenship Required Clearance: No Q Clearance required | Must pass federal background check | A-Level Access required


IMPACT


The LANL Research Library is undertaking a major collection logistics project at the historic Oppenheimer Building (TA-3, Building 207) - and they need organized, detail-oriented professionals to help get it done. The team is working to empty a large space containing approximately 1,800 boxes of technical reports, shipping roughly 240 boxes per week to offsite storage through Iron Mountain. Each box holds approximately 70 technical reports that may require indexing - creating spreadsheets with titles, authors, subjects, and related information.


This is a hands-on, fast-paced logistics and data entry role at one of the nation's most iconic scientific institutions. No security clearance is required and no degree is needed - just strong attention to detail, solid organizational skills, and the ability to work efficiently and keep pace with high-volume shipping demands. There is real potential for conversion if the project completes ahead of the September 30 deadline.


RESPONSIBILITIES AND DUTIES



  • Track and coordinate approximately 1,800 boxes of technical reports being prepared for offsite storage via Iron Mountain, at a pace of approximately 240 boxes per week

  • Create and maintain spreadsheets of box barcodes and inventory data, including title, author, subject, and related indexing information

  • Upload box and inventory data into Iron Mountain Connect and other online systems

  • Prepare boxes and materials for shipment, storage, or other approved handling

  • Support logistics planning for high-volume shipping, including tracking what is sent and when

  • Index technical reports onsite as needed, including reports that may contain Controlled Unclassified Information - creating spreadsheet records with title, author, subject, and related metadata

  • Provide guidance and coordination support to student workers assisting with the project

  • Communicate with offsite storage vendor (Iron Mountain), LANL groups, and local project teams

  • Review indexed records for accuracy, completeness, and consistency

  • Conduct basic information or historical research under supervision as needed


MINIMUM QUALIFICATIONS



  • Minimum 2 years of related experience, or an equivalent combination of education and experience

  • No degree required

  • Strong attention to detail and accurate data entry experience - the top priority for this role

  • Strong organizational skills and ability to follow detailed procedures and protocols

  • Good written and verbal communication skills

  • Experience using Microsoft Excel or similar spreadsheet tools

  • Ability to lift baker's boxes of technical reports up to 25 pounds as needed throughout the workday

  • Ability to work efficiently and maintain pace with high-volume project demands

  • Comfortable working with controlled unclassified information following established procedures


DESIRED SKILLS



  • Experience with Iron Mountain Connect or similar records storage and retrieval platforms

  • Background in indexing, metadata entry, inventory tracking, or quality control

  • Library, records management, archives, logistics, or technical information experience

  • Experience following procedures for controlled or sensitive information
