Full-Time Receptionist

Hiring Range: $17.00 – $19.73 Per Hour

Kitsap Mental Health Services (KMHS) is hiring a Receptionist to serve as the welcoming face of our inpatient services. In this vital role, you will support staff and clients by managing front desk operations, directing calls and visitors, maintaining schedules, coordinating clerical support, and ensuring a professional, organized, and friendly environment. Your strong communication skills, reliability, and service orientation will help create a smooth experience for everyone who walks through our doors.



Primary Responsibilities:

• Provide excellent and responsive customer service by screening and directing incoming phone calls and greeting visitors.
• Offer administrative and clerical support to inpatient staff to facilitate timely documentation and communication.
• Sort, open, and distribute agency mail; post incoming checks to the check/cash journal daily.
• Open and secure the building and common areas each day; report any equipment issues to the appropriate department.
• Maintain scheduling calendars for meetings, courtroom use, and staff vacations; coordinate vehicle reservations for intra-agency use.
• Manage petty cash, balance ledger, and handle small transactions.
• Break down client charts post-discharge and check for documentation deficiencies per inpatient unit protocols.
• Maintain front door security by screening visitors and verifying appointments for access to the AIU lobby.
• Copy and assemble client goal packets for the Youth Inpatient Unit as requested.
• Coordinate after-hours provider coverage with the Chief Medical Officer and update the Inpatient On-Call Provider calendar.
• Assist the Sr. Director of 24-Hour Services in maintaining and distributing the Administrative MHP On-Call Schedule.
• Keep the front lobby, lounge, and common areas clean, welcoming, and well-stocked in collaboration with maintenance and purchasing.

 

Minimum Qualifications:

EDUCATION: High School Diploma or GED

EXPERIENCE: One year of related experience using the multi-line phone. Ability to work with the public on the phone and in person. Proficiency in handling busy phones, including the ability to work with people and to maintain communication in emergency situations.

 

Preferred Qualifications:

EXPERIENCE: Two + years receptionist related experience.  Ability to type at least 40 words per minute. Experience in handling money and/or bookkeeping experience.  General office skills and effective organizational skills.

 

 

Performance Requirements:

KNOWLEDGE:

  1. Working knowledge of healthcare insurance.
  2. Knowledge of medical terminology.
  3. Knowledge of general administrative and clerical procedures.

 

SKILLS:

  1. Skill in establishing and maintaining effective working relationships with other employees, clients, organizations, and the public.
  2. Interpersonal Skills: Courtesy, tact, and diplomacy are essential elements of the job. Work involves personal contact with others inside and/outside the organization, generally regarding routine matters for purposes of giving or obtaining information which may require some discussion.
  3. Familiarity with computers is very important – staff will learn to use our Electronic Medical Record system, scheduling system, and need to be able to navigate the Microsoft Office.
  4. Confidentiality – able to maintain confidentiality and adhere to ethical standards

 

ABILITIES:

  • Demonstrated ability to work in stressful situations (i.e., clients in crisis, numerous telephone calls).
  • Demonstrated ability to work independently and as a team member. 
  • Adaptability – able to adjust approach to meet changing demands and situations including dealing with diverse people.
  • The ability to operate a personal computer, fax machine, printer, and copier proficiently.

 

Equipment Operated: Standard office equipment including computers, fax machines, copiers, printers, telephones, etc.

 

Work Environment: Frequent mobility and/or sitting required for extended periods.

 

Mental/Physical RequirementsWhile performing the job duties, the employee is required to walk, sit, use hands and fingers, reach with arms, talk, or listen.  Peripheral vision is also required for this position.
